This role will include a variety of administration support with coordinating medication requests, Docman clinical coding, summarising, and fulfilling patients subject access requests.

Job responsibilities
Key ResponsibilitiesThe following are the core responsibilities of the Administration Assistant in delivering health services. There may be occasions when a requirement to carry out other tasks arises. This will be dependent upon factors such as workload and staffing levels:
- Accurately clinically code data into the patient record on the clinical system through Docman or via newly registered patient records.
- Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action. To then assess and forward to appropriate clinicians for their attention to enable them to action accordingly.
- Inputting and extracting data as required to support practice reports, audits and to capitalise upon both patient safety and QOF income.
- Scanning patient related documentation and attaching scanned documents to patients healthcare records.
- Highlight all timely actions, changes to patient care and management to the relevant clinician.
- File and store records as required.
- Photocopy documentation as required.
- Action all incoming correspondence, emails and mail in a timely manner.
- Input data into patients healthcare records as necessary.
- Conduct system searches as requested.
- Follow and implement practice policies and procedures around prescribing.
- Review and manage an efficient repeat prescribing system using EMIS Web and EPS.
- Ensure medication review systems are set up and up to date.
- Assist and encourage patients to order prescriptions through the NHS App.
- Maintain a clean, tidy, effective working area at all times.
- Support all clinical staff with general administrative tasks as requested.
- Undertake a broad spectrum of administrative duties commensurate with the role.
- Be an integral part of the general practice team.
- Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children.
- Undertake all mandatory training and induction programmes.
- Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed.
- Contribute to and embrace the spectrum of clinical governance.
In addition to the primary responsibilities, the Clinical Coder has the following wider responsibilities:
- Act as the medical reports administrator deputy during their absences.
- Participate in local initiatives to enhance service delivery and patient care.
- Support and participate in shared learning.
Person Specification
QualificationsA good standard of education with an expectation of having both GCSE Maths and English at Grade C (Level 4) or above, or Functional Skills Level 2 in Maths and English.
