We're a friendly and supportive GP practice looking for an experienced Receptionist/Administrator to join our team. We have a part time position available; working 25 hours, 5 days per week across both of our sites on a rota basis. This role is ideal for someone who enjoys helping people and thrives in a busy, patient focused environment.
Main duties of the job
- Welcoming patients at reception

- Completing SystmOne tasks, scanning and attaching documents
- Handling emails and prescription requests
- Registering new patients
- Supporting the practice with general admin duties

Job responsibilities
As a Receptionist/Administrator, you'll play a key role in helping our practice run smoothly and ensuring patients receive an excellent level of care. You'll support our clinical and administrative teams while providing a warm, professional service to everyone who walks through our doors.
Main Duties
- Manage new and follow-up appointments efficiently using our clinical IT system
- Welcome patients and direct them to the appropriate clinician or service
- Act as a chaperone when required
- Arrange interpretation services for patients who need language support
- Maintain accurate, up-to-date electronic patient records using the correct coding
- Prepare the reception area for incoming colleagues and contribute to smooth handovers between shifts
- Handle telephone enquiries, take messages, and direct calls appropriately
- Process incoming and outgoing correspondence, including managing workflow tasks
- Deal with patient and administrative queries promptly and professionally
- Enter information into patient records as needed
- Support the team with searches, audits, and recall processes
- Maintain confidentiality at all times and offer patients a private space if they need to discuss sensitive matters
General Responsibilities
- Follow all health and safety guidelines
- Take part in training and development opportunities provided by the practice
- Carry out any other reasonable duties required to support the smooth running of the service
Qualifications
- GCSEs or equivalent qualifications with Grade B or above in English
- Excellent communication skills (Written and Oral)
Experience
You'll bring strong time management skills and the ability to meet deadlines, along with good problem solving abilities and excellent interpersonal skills. You should be able to plan, organise, and prioritise your workload effectively, stay calm under pressure, and show initiative and adaptability when situations change. Being a supportive team player is essential, as is being self-motivated, proactive, and flexible enough to work across different shift patterns. You'll have previous experience working in a GP practice in a reception or administrative role, and you will be confident using SystmOne, Microsoft applications, and AccuRX as part of your day to day work.
