Role Overview
The Portfolio Assistant delivers administrative service and support to Investment Managers, clients, introducers and responds to requests from supporting functions. This is achieved by having a clear and precise understanding of all the processes and procedures that are undertaken within the administrative team.
Role Responsibilities
- Act as an escalated point of contact for complex technical queries from clients, Investment Managers, and IFAs.
- Build and maintain effective relationships with clients, introducers, and their paraplanning teams.
- Respond to client and introducer queries by phone and email in a timely and professional manner.
- Assist with the opening and ongoing maintenance of client portfolios.
- Handle key transactional activities, including processing payment instructions, initiating asset sales, and completing verification call backs where required.
- Manage workflow queues and action requests efficiently to ensure service levels are met.
- Update client KYC data and process account amendments as required.
- Maintain accurate, complete, and up to date administrative records, including opening, scanning, and saving incoming post to client files.
- Assist the Senior Portfolio Manager with day to day team management activities, including work checking and task allocation.
Knowledge, Skills and Experience
- A minimum of 3 years experience as an Administrator within Wealth or Investment Management is preferred.
- Strong interest in and understanding of the financial services industry.
- Excellent organisational, planning, and prioritisation skills.
- High level of attention to detail.
- Confident in engaging with a wide range of stakeholders, including clients, Professional Advisers, Investment Managers, product providers, and internal teams.
- Demonstrates ownership and accountability in completing tasks.
- Energetic and passionate about delivering positive outcomes for advisers and clients.
- Collaborative team player with a strong work ethic.
