Our client is hiring for a reputed client in the Probation Service Directorate, providing a welcoming first point of contact and essential administrative support.
What you'll be doing:
- Acting as the first point of contact for visitors and telephone/email enquiries, greeting people professionally and logging arrivals/departures
- Issuing visitor passes and security fobs as necessary, ensuring the right people are informed promptly
- Handling basic enquiries and directing more technical questions to the appropriate manager
- Supporting building logistics: managing mail, ordering stationery/PPE, overseeing meeting room and hot desk/car parking bookings, and preparing for events/registration
- Assisting with day-to-day petty cash and travel warrant processing, including transporting items between locations
- Supporting health & safety and security: acting as key holder, operating physical security, testing alarms, monitoring CCTV, and supporting evacuation measures (including Fire Warden/First Aider duties where required)
- Logging building faults/incidents, escalating maintenance issues appropriately, and making urgency decisions within guidelines
- Providing confidential administrative support to operational teams when needed, including scanning/archiving and updating computer and manual records (some highly sensitive)
What you'll bring:
- A confident, professional communication style-excellent verbal and written skills
- Proven proficiency in ICT across the Microsoft Office suite
- The ability to observe, use tact and diplomacy, and diffuse potentially difficult situations-knowing when to elevate to the right support
- A careful, policy-led approach to confidential and sensitive information
