Receptionist/Administrator

We are seeking a professional, reliable, and friendly Receptionist/Administrator to join our client to support a busy medical practice based in Belfast. The successful candidate will play a key role in providing high-quality front-of-house service to patients and delivering essential administrative support to the clinical and management team.

Position Details

This is a part-time position, working 3 days per week, with flexibility required to provide cover across the full working week when needed (e.g., for holiday or sickness cover).

This is a 4-week temporary cover (Possible extension).

Duties

  • Greet and assist patients and visitors in a courteous and professional manner.
  • Answer telephone calls promptly, directing calls appropriately or taking accurate messages.
  • Book, amend, and cancel patient appointments using the clinical system.
  • Check in patients for appointments and manage patient flow in the waiting area.
  • Handle patient enquiries in person, by phone, or email.
  • Process prescription requests and repeat prescriptions in line with practice protocols.
  • Ensure the reception area is tidy, welcoming, and well-stocked with relevant information.

Administrative Duties

  • Maintain and update patient records accurately and confidentially.
  • Manage incoming and outgoing correspondence, including scanning and filing documents.
  • Assist with administrative tasks such as recalls, registration of new patients, and responding to emails.
  • Liaise with clinical staff, external agencies, and other healthcare providers.
  • Support the Practice Manager and clinical team with general administrative duties as required.
  • Ensure adherence to confidentiality, GDPR, and safeguarding protocols at all times.

Person Specification

  • Previous experience in a customer-facing or administrative role.
  • Excellent communication and interpersonal skills.
  • System knowledge with Vision
  • Strong organisational skills and attention to detail.
  • Ability to work effectively in a fast-paced and sometimes pressured environment.
  • Competent IT skills including use of email, word processing, and databases.
  • Flexible approach to working hours and tasks.

Working Hours

Monday-Friday, 8:30am – 18:00pm (Flexible with start and finish time)

Pay Rate

£12.50p/h (Weekly Pay)
