Location: Old Admiralty Building, London, Greater London, SW1A 2AY (Hybrid)

Pay rate: £16.31 per hour

Contract length: 6 months

Working pattern: Monday to Friday, hybrid working (typically 2-3 days per week in the office)

Security clearance: Basic DBS required (Costs covered by the hiring process)

If you're someone who thrives on structure, discretion and making busy diaries run smoothly, this is a fantastic opportunity to support two Deputy Directors in a friendly, collaborative team. You'll be supporting a high-profile and sensitive area of Government work-helping ensure priorities are ready, meetings are well organised, and decisions can move forward.

What you'll be doing:

  • Manage and organise complex diary schedules for two Deputy Directors, including inbox management and ensuring effective meeting coverage
  • Coordinate meetings and events end-to-end: booking rooms, creating agendas, and distributing updates
  • Take and circulate minutes from senior management meetings
  • Arrange travel (UK and overseas when required), ensuring cost effectiveness and compliance with policy
  • Process Deputy Directors' expenses and support the Business Manager with Directorate budget responsibilities
  • Provide administrative support across the Directorate-working with other PAs and colleagues across teams including comms, planning, recruitment and IT
  • Support cross-directorate collaboration with offices, teams, PAs and Private Secretaries to keep priorities aligned
  • Maintain accurate HR and finance records and support internal communications (e.g., notes, huddles and events)
  • Step in to support broader Directorate programme activity, including business planning and covering for other PAs when needed

What you'll bring:

  • Proven experience in a PA/Executive Assistant role supporting senior stakeholders
  • Strong written and verbal communication-able to tailor messages for different audiences
  • Excellent organisation and attention to detail
  • Ability to prioritise and multitask in a fast-paced environment
  • Discretion, tact and confidence handling sensitive information professionally
  • Proactive, motivated, "can-do" approach to problem solving
  • Working knowledge of MS Office (Outlook, Word, PowerPoint and Excel)
  • Ability to obtain and pass a Basic DBS check
