Temp Office Assistant, Communications and Engagement

Temporary Office Assistant on behalf of a leading organisation within the higher education sector based in

Leeds.

This is an excellent opportunity for an organised, proactive and detail-oriented administrator to join a busy Communications and Engagement team. You'll play a key role in supporting daily operations, ensuring administrative processes run smoothly and helping colleagues deliver impactful communications and engagement activities.

About the Team

The Communications and Engagement team is responsible for promoting the organisation's achievements, engaging with internal and external audiences, and supporting its reputation on a regional, national and international level.

The team works closely with colleagues across the organisation to share key messages, celebrate successes and support effective communication during periods of change.

The Role

Reporting to the Business Operations Manager, you will provide essential administrative support across the department. The successful candidate will be highly organised, capable of managing multiple priorities and committed to delivering a high standard of service.

Key Responsibilities

  • Managing a shared team inbox and Microsoft Teams channels, ensuring enquiries and requests are actioned promptly.
  • Recording, updating and tracking tasks through departmental systems and processes.
  • Supporting the smooth day-to-day running of the office environment.
  • Coordinating maintenance requests and assisting with general office administration.
  • Monitoring stationery and office supplies, carrying out regular stock checks and arranging replenishment when required.
  • Tracking deliveries and processing goods receipts.
  • Ensuring orders are processed in line with procurement and finance procedures.
  • Supporting HR administration, including recruitment activities, onboarding new starters and processing employee departures.
  • Assisting with meeting arrangements, diary coordination and team administration.
  • Sorting and distributing incoming post and correspondence.
  • Providing administrative support to the wider Operations Team as required.

Skills and Experience Required

  • Previous experience providing administrative support within a busy office or team environment.
  • Excellent attention to detail and a high level of accuracy.
  • Ability to identify errors, resolve issues and maintain accurate records.
  • Strong organisational and time management skills.
  • Ability to manage competing priorities and adapt to changing workloads.
  • A proactive approach with the confidence to work independently and use initiative.
  • Strong IT skills, including experience with:
  • Microsoft Word
  • Microsoft Excel
  • Microsoft Outlook
  • Microsoft 365
  • Microsoft Teams
  • Microsoft Forms
