The Opportunity

We are recruiting for an experienced and organised Administrative Assistant to join a busy professional services team within a leading UK higher education institution. This is an excellent opportunity for someone who enjoys providing high-quality administrative support, coordinating activities and working within a fast-paced environment supporting senior stakeholders.

This role requires an immediate start and so we are keen to hear from candidates who are available to commence work at short notice.

The role is primarily onsite, particularly during the initial onboarding and training period. There may be some opportunity for hybrid working once established in the role, subject to operational requirements.

Key Responsibilities

  • Provide day-to-day administrative support, ensuring effective coordination of activities and priorities.
  • Manage complex and confidential diaries, arranging meetings and appointments efficiently.
  • Coordinate UK and international travel and accommodation arrangements, preparing detailed itineraries and ensuring all logistics are in place.
  • Process purchase orders, expenses and travel bookings through organisational systems, ensuring compliance with procedures and approvals.
  • Support the administration of external consultants and suppliers, ensuring all required documentation is completed.
  • Arrange catering, taxis and other hospitality requirements using online booking systems.
  • Organise meetings, visits and events of varying scale, including venue bookings, catering and attendee coordination.
  • Provide flexible administrative support and cover for colleagues across the wider team when required.

About You

We're looking for someone who:

  • Has previous administrative experience within a busy office environment.
  • Has experience of managing diaries and coordinating competing priorities for senior stakeholders.
  • Demonstrates excellent organisational and time-management skills.
  • Can manage multiple priorities whilst maintaining a high level of accuracy and attention to detail.
  • Handles sensitive and confidential information professionally.
  • Has strong communication and interpersonal skills.
  • Is proficient in Microsoft Office and confident using a range of systems and databases.
  • Takes a proactive and flexible approach to work.
