You’ll work closely with the Property Management and Building/Facilities Management teams to ensure the venue, offices and event spaces are maintained to a high standard, fully compliant, and operating efficiently. The role involves a balance of desk-based coordination and on-site activity, requiring strong organisation, adaptability and a proactive approach. This is a fast-paced environment where no two days are the same. You’ll be expected to switch between tasks, respond to challenges quickly, and take ownership of your work while supporting the wider team.
What we’re looking for:
We’re looking for a proactive, organised and hands-on individual who enjoys working in a fast-paced, ever-changing environment. You’ll be equally comfortable managing administrative tasks as you are being on-site, solving problems and supporting day-to-day operations. You’ll have a strong sense of ownership, a can-do attitude, and the ability to prioritise effectively. A confident communicator with great attention to detail, you’ll take pride in maintaining high standards and contributing to a smooth and professional environment for both internal teams and external visitors.
What you’ll be responsible for:
- Support the smooth running of the venue, offices and event spaces alongside facilities and operations teams.
- Ensure compliance across the venue in line with building and operational requirements.
- Maintain high standards of repair, cleanliness and presentation across all areas.
- Monitor and meet maintenance deadlines in collaboration with the Facilities Management team.
- Act as a key holder and assist with opening the venue as required.
- Be a point of contact for emergency call-outs.
- Manage deliveries, post, couriers and general logistics.
- Oversee consumables, including stock checks and restocking.
- Manage access control systems, including issuing and programming passes.
- Carry out regular building walk rounds, reporting and tracking issues to resolution.
- Coordinate contractors, including scheduling, inductions and on-site supervision.
- Support meeting room set-up and general space management.
- Provide reception cover when required and assist with visitor management.
- Order equipment and materials as needed.
Operations and Health & Safety:
- Support the Facilities Manager with Health & Safety processes, including walk-rounds and testing.
- Deliver H&S inductions for new starters and maintain H&S documentation.
- Monitor and restock first aid equipment and ensure signage is up to date.
- Ensure plant, equipment and infrastructure are safe, secure and well maintained.
- Carry out regular compliance checks and maintain accurate records.
- Support business continuity by ensuring the venue remains fully operational.
- Manage cleaning contractors and ensure high standards are upheld.
- Assist with reception and site security operations.
- Ensure all security procedures are followed correctly.
- Support with general operational and ad-hoc tasks as required.
Venue and Events:
- Support preparation of the venue for live events, including opening procedures and system checks.
- Assist with on-the-day facilities requirements to ensure smooth event delivery.
- Act as a point of contact for facilities-related issues during events.
- Support emergency procedures, including evacuations if required.
- Work closely with Venue Operations and Event teams across music and corporate events.
- Assist with client site visits and venue readiness.
You’ll need to have:
- Experience in a similar role or environment (facilities, venue or operations).
- Strong organisational and time management skills.
- Ability to prioritise workload and manage multiple tasks.
- Good understanding of general building maintenance.
- Experience working with contractors or external suppliers.
- Knowledge or experience of Health & Safety processes.
- Proficiency in Microsoft Office and Google Workspace tools.
- Excellent communication and customer service skills.
- A proactive, flexible and positive approach to work.
Nice to haves:
- Experience working within a live events or cultural venue environment.
