About the role:
As an Event Project Manager, you will be mainly working closely with the Senior Project Manager, who is responsible for all of Project Farm’s retail, placemaking, public realm and brand activation experiences. You will be working with a small selection of our property clients across our retail and public realm division. You will be primarily responsible for the seamless end-to-end delivery of our public realm activations. You will work closely with the Account Lead of Retail and Directors of the business to successfully manage and deliver events.
What we’re looking for:
We’re looking for a friendly, organised people person to join the team and support our ongoing programme of retail events, as well as helping out with corporate bookings at Drumsheds. This role is all about understanding how events run on the ground - thinking about customer journeys, keeping things flowing smoothly, and making sure the right number of staff are in place.
You’ll work closely with our staffing suppliers, building strong relationships with key event suppliers and site teams - making sure each event is properly resourced and runs without a hitch. It’s a great opportunity for someone passionate about events and keen to gain hands-on experience across a variety of smaller-scale activations.
What you’ll be responsible for:
- Planning and Brief Process
- Be responsible for the creation and delivery of full event budgets, specific to each project. Ensuring you are in line with client expectations.
- Help and assist with proposals and budgeting in line with pitches or RFP bids that come into the agency.
- Ensure that debriefs are correctly documented and that learnings are accounted for.
- Attending and leading project client meetings, with detailed note-taking.
- Event Planning and Delivery
- Own a range and series of small events from end to end. Inclusive of supplier management, operations, client guidance and communication, budgeting and wrap-up.
- Budget Management - the role will require great administration skills and an organised approach to assist the wider team with invoice processing and keeping our system up to date.
- Working within a schedule, to-do list and workload, both managed by yourself and the Senior Project Manager. Keeping up to date with this and reporting issues or time management in order to complete tasks.
- Attend site visits and be aware of questions, queries and knowledge that will ensure that the best information is taken from these visits and venues.
- Investigate and be aware of existing client-owned real estate and event meeting spaces. A lot of the work will be in repeat venues, and you’ll need to be an expert on how they operate and the suppliers surrounding them.
- Be aware of and implement a great knowledge of Project Farm H&S procedure, awareness and documentation.
- Have great logistics knowledge and skills for getting things done quickly, moving around kit and keeping on top of kit moving from event to event.
- Procure and apply for relevant permits and council permissions for public realm events, using the wider Project Farm team's knowledge to help you.
- Work with production teams. You’ll need a good understanding of a simple production set-up. We don’t need a technical expert, but we do need someone who has an understanding of basic set-up and the need for screens, power, lectern, and lighting packages in order to manage the supplier and answer client needs.
You’ll need to have:
- A minimum of 2+ years’ experience in the events industry, with hands-on delivery of small to mid-scale events from concept through to completion.
- Proven experience managing events end-to-end, including logistics, suppliers, staffing and on-site delivery.
- Strong budgeting and financial administration skills, with experience managing event budgets and processing invoices.
- Experience briefing, managing and coordinating staffing teams, suppliers and external partners.
- Solid understanding of event operations, including scheduling, site visits, and on-the-ground delivery requirements.
- Working knowledge of health & safety processes, risk assessments and compliance requirements within events.
- Confidence in client communication, including leading meetings, taking briefs and managing expectations.
- Excellent organisational and time management skills, with the ability to manage multiple projects simultaneously.
- A proactive, solutions-focused mindset with the ability to stay calm under pressure and adapt quickly.
- Strong communication skills and a collaborative approach to working within a close-knit team.
- Good working knowledge of Google Drive and general office tools, with the ability to pick up new systems quickly.
- Flexibility to work evenings, weekends and travel when required.
Nice to haves:
- Experience working on retail, placemaking or public realm activations.
- Familiarity with council permissions, licensing and permit processes.
- Basic understanding of event production (e.g. AV, power, lighting).
- Experience supporting pitches or RFP responses.
- Knowledge of event/project management systems.
