This is a fantastic opportunity for someone starting their career in HR. As a HR Administration Apprentice, you’ll support the HR team with recruitment, staff records, payroll admin, and general queries from staff.
Key Responsibilities
Recruitment Support
• Help prepare job adverts and application packs, using templates.
• Post vacancies on MyNewTerm (ATS) and wider Social Media
• Track job applications and respond to basic queries from applicants. Help arrange interviews and prepare paperwork for interview panels. Assist with pre-employment checks (references, ID, DBS)
• Support with on-boarding of new starters (., welcome packs, induction paperwork, and other forms), and support with staff inductions
• Set up employee’s electronic files
• Monitor probationary periods, liaising with line managers to remind them when meetings are due
HR Administration
• Monitoring the HR team inbox, responding to basic queries when able to and within limitations of own knowledge
• Creation and maintenance of electronic personnel files
• Keep HR systems and personnel files up to date, in adherence to Data Protection rules
• General administrative support; including scanning, printing, copying and collating documents, note-taking, updating SharePoint
Payroll Support
• Assist with gathering information for payroll (., new starters, changes in hours)
• Help process basic payroll changes and pass information to the payroll provider
• Deal with simple pay queries and escalate when needed
Absence Management
• Record staff absences and notify line managers when action is needed
• Assist in preparation of absence reports and return-to-work documents. Take minutes at absence meetings as required
General Support
• Be a helpful first point of contact for staff with HR-related questions
• Help promote staff wellbeing activities and resources
• Be flexible in supporting wider team activities
• Attend training and team events relevant to the role
Safeguarding
• Follow all safeguarding procedures and maintain relevant logs
• Ensure safer recruitment practices for all staff and visitors
• Promote the welfare and safety of all children and young people
Training and Development
• Work towards a Level 3 HR Support Apprenticeship qualification (or similar). Receive on-the-job training and mentoring from experienced HR professionals
• Attend regular check-ins with your training provider and line manager
