This role covers our 4 units in Liverpool City Centre, Warrington, Aigburth, and St Helen's. Regular travel to all 4 is required.

We are looking for an experienced Admin Assistant to come and join our Merseyside Cluster on a part time basis working 34 hours a week. This unit-based role covers 4 units within the cluster – regular travel across all units is required. You’ll work as part of the team in carrying out administration tasks in an efficient and friendly manner ensuring that clients feel accepted, supported, and confident about BPAS services.

About You

You will have proven experience of working within an office environment, where you’ve carried out administration duties. You will be an excellent communicator both internally and externally and will demonstrate a friendly and positive attitude when interacting with clients, colleagues, and external parties.

Main duties of the job

  • Answer and direct telephone queries, liaising with internal and external colleagues, as necessary.
  • Accurately check or complete BPAS and legal paperwork, ensuring all relevant documentation is available for the clients episode of care.
  • Monitor, edit and amend appointment list, using as appropriate BPAS booking system, informing clients if changes to their appointment become necessary.
  • Assist in the monitoring, control and ordering of stock, sort and distribute incoming mail and prepare and dispatch statistical information and reports.

We are also looking for:

  • Experience of dealing face to face with patients who may be upset, within a care environment.
  • Knowledge of clerical procedures including checking documentation, telephone, and reception duties.
  • Good attention to detail, supportive towards colleagues and clients and is an effective team player.

Salary £23,886 - £26,910 per annum (£12.76 - £14.38ph) depending on skills/experience. Pro‑rata for part time hours.

Hours 34 per week to be worked across the 4 units in the cluster over the below days/hours. A rota is given in advance. Monday, Tuesday, Wednesday & Friday - 08:00 to 17:00.

Experience

  • Administration experience gained within an office environment and general office duties.
  • Experience with clerical procedures including the checking of documentation.
  • Experience of telephone and reception procedures.
  • Experience of dealing face to face with patients who may be angry or upset, within a care environment.

Qualifications

  • English and Maths qualification either GCSE A to C or Functional Skills Level 2 or GCSE 4* or NVQ level 2.
  • Competent in Microsoft Office programmes including Word, Excel, Outlook, and Microsoft Teams.
