Overview: This role is based across our four units in the Merseyside cluster. The Admin Assistant will be responsible for completing all administrative and client support tasks within the unit, supporting clients through their episode of care. The role is 30 hours per week, flexibly across Monday to Friday, with a rota provided in advance. Weekly travel to all four units is required.
About you: You will have strong experience of working within an office environment with administration duties. You will be an excellent communicator, both internally and externally, and will demonstrate a friendly and positive attitude when interacting with clients, colleagues, and external parties.
Main duties of the job:
- Answer and direct telephone queries, liaising with internal and external colleagues as necessary.
- Accurately check or complete BPAS and legal paperwork, ensuring all relevant documentation is available for the client's episode of care.
- Monitor, edit and amend appointment lists, using BPAS booking system where appropriate, and inform clients if changes to their appointment are necessary.
- Assist in the monitoring, control and ordering of stock, sort and distribute incoming mail, and prepare and dispatch statistical information and reports.
We are also looking for:
- Experience of dealing face to face with clients who may be angry or upset, within a care environment.
- Knowledge of clerical procedures including checking documentation, telephone, and reception duties.
- Good attention to detail, supportive towards colleagues and clients, and an effective team player.

Salary: £24,484 - £27,583 per annum pro rata (£13.08 - £14.73ph). Depending on skills and experience.
Shift pattern: 30 hours per week - 4 x 7.5 hour shifts. To be worked flexibly across the 4 units over Monday to Friday.
Locations: BPAS Liverpool (L3 8JA) will be classed as your base unit, and mileage to the other units as part of your normal duties will be reimbursed at the rate determined by the BPAS Expenses policy in place at the time.

Person Specification: Experience in administration within an office environment and general office duties; experience with clerical procedures including checking documentation; experience of telephone and reception procedures. Experience of dealing face to face with patients who may be angry or upset, within a care environment; healthcare administration experience.
Qualifications: English and Maths qualification either GCSE A-C or Functional Skills Level 2 or GCSE 4* or NVQ level 2. Competent in Microsoft Office programmes including Word, Excel, Outlook and Microsoft Teams.
