The closing date is 19 March 2026. This role is part of our Solent Cluster and although your main place of work is Portsmouth, there may be the requirement to work at the Southampton and Basingstoke units to cover sickness and annual leave on an ad‑hoc basis.
Do you enjoy working within a busy office or reception environment, where no two days are the same? Do you have experience of general administrative procedures? We are looking for an experienced Admin Assistant to come and join our unit in Portsmouth. As the Admin Assistant you will be responsible for completing all administrative and client support tasks within the unit, supporting clients through their episode of care. This unit‑based role is working 15.5 hours per week every Thursday and Friday. A detailed shift pattern and salary information can be found below in the further information section.
About You
You will have strong experience of working within an office environment, where you have carried out administration duties. You will be an excellent communicator both internally and externally and will demonstrate a friendly and positive attitude when interacting with clients, colleagues, and external parties.
Main duties of the job
- Answer and direct telephone queries, liaising with both internal and external colleagues, as necessary.
- Accurately check or complete BPAS and legal paperwork, ensuring all relevant documentation is available for the client's episode of care.
- Monitor, edit and amend appointment list, using as appropriate BPAS booking system, informing clients if changes to their appointment become necessary.
- Assist in the monitoring, control and ordering of stock, sort and distribute incoming mail and prepare and dispatch statistical information and reports.
We are also looking for:
- Experience dealing face to face with clients who may be angry or upset, within a care environment.
- Knowledge of clerical procedures including checking documentation, telephone, and reception duties.
- Good attention to detail, supportive towards colleagues and clients and an effective team player.
