THE ROLE
As the Events Operations Executive, you will play a pivotal role in supporting our London Offices events team by efficiently managing logistics and operational aspects to ensure the success of our events. Your primary focus will be on coordinating event logistics and enhancing participant experience among our office worker audience.
Collaborating closely with cross-functional teams, including property management and asset teams, you will be responsible for the seamless execution of all event-related activities. Your role will involve liaising with events agencies and overseeing the coordination of setups, equipment, and staff, as well as managing on-site operations to guarantee the smooth running of events.
What You’ll Do
- Event Operations
- Work closely with the Events Manager & Digital Communications Manager to plan and execute the operational aspects of events for London Campuses and Canada Water.
- Assist in developing new and innovative event ideas aimed at enhancing the engagement and well-being of office workers.
- Communicate event details with wider business stakeholders, to ensure seamless integration of events into each location.
- Provide on-site support during events, ensuring that all logistical aspects are running smoothly, addressing any challenges or issues that may arise.
- Supervise and manage temporary event staff during event execution to ensure a smooth and well-coordinated experience. Provide clear instructions and oversee task assignments.
- Work closely with other members of the Offices Marketing team to align event strategies with broader marketing campaigns.
- Event Administration
- Ongoing management of event budgets, including the raising of purchase orders.
- Maintain accurate records of event details, including event briefing templates, attendee lists, and post-event reports. Ensure that all documentation is organised and easily accessible.
- Oversee obtaining necessary permits and licenses for events, adhering to health, safety and legal protocols.
- Monitor and evaluate event marketing performance, gather feedback, and implement improvements for future events.
- Conduct competitor analysis to identify trends, best practices, and areas of differentiation in event offerings. Utilise insights to refine event plans and enhance attendee experiences.
- Process Management
- Continuously assess and enhance marketing operations processes to increase efficiency and effectiveness.
- Provide support and guidance to marketing teams on operational best practices and process adherence.
- Coordinate with external vendors and agencies to ensure smooth execution of activities.
- General Marketing
- Stakeholder liaison: Manage and proactively communicate with all stakeholders – asset managers, property managers, legal, retailers and other third parties, e.g. event agencies.
- Special Projects: To take responsibility for across marketing projects as required.
- Sustainability: Ensure that the new Sustainability strategy becomes ’business as usual’ during the marketing decision process.
About You
Required
- Demonstrated events management experience.
- Experience of communicating with and managing a variety of stakeholders.
- Excellent written and verbal communication skills.
- Creative and innovative thinking, with the ability to generate new ideas and solutions to challenges.
- Ability to work both independently and collaboratively within teams and contribute to a positive and collaborative culture.
- A team player who can work effectively with others and excellent project management and organisational abilities.
- Works well under pressure and always remains calm.
- Will be a confident, pro-active, self-starting and highly professional individual.
- Must have advanced knowledge of MS Word, Outlook, PowerPoint and intermediate knowledge of Excel.
- Ability to juggle multiple projects, to prioritise and meet tight deadlines.
- Must have an excellent attention to detail.
- A willingness to travel and work onsite during events, sometimes at unsociable hours.
Desirable
- An understanding of using digital ticketing tools and platforms, such as Eventbrite and Ticket Tailor.
- An interest in staying up to date with the latest industry events, and emerging trends.
- Some experience using Project Management Tools.
