To proactively manage the external campus spaces and common areas in the basement and car park at Regent’s Place, which comprises a 13‑acre campus surrounding 2 million sqft of office, laboratory, retail and residential space across 10 buildings. Working alongside the Estate Technical Services Manager and Assistant Estate Manager, the role is responsible for ensuring that Estate areas are well presented, clean, safe and secure by coordinating the fabric, cleaning, security, landscaping, maintenance, life sciences and events team’s activities, ensuring these are carried out with absolute minimum disruption or nuisance to occupiers and residents. The role delivers British Land policy, provides an innovative, operationally efficient, and environmentally competitive environment for occupiers, residents, contractors and customers, while enhancing the value of the landlord’s asset and leads the management of campus‑wide and public realm development.

What You’ll Do

  • Develop and maintain a professional understanding and close working relationship with Estate retail and appropriate occupier representatives from on‑campus and neighbouring Estate buildings.
  • Encourage frequent and open communication and flow of information on relevant Estate issues, including coordination of Landlord development works on the Estate.
  • Manage any associated occupier (retail and office) and contractor liaison and Design for Management.
  • Manage the production of the annual Estate service charge budget and associated schedules, management accounts, coordinating the input of internal resources and ensuring strict adherence to the published programmes.
  • Ensure a forum exists for regular dialogue between stakeholders to inform them of planned maintenance activities and allow them to express their views regarding the quality of performance where it impinges upon their businesses.
  • Liaise with outside parties such as Camden Council, statutory authorities such as the Emergency Services, Transport for London (TfL), Thames Water, ensuring their activities are coordinated with those of Estate Management.
  • Play a critical and leading role in Emergency Preparedness and associated tests (EPT) and response, ownership of the Incident Management plan, implementing and maintaining a critical threat plan and strategy for the Estate.
  • Work with the Life Sciences Operations Manager and other Science and Technology specialists to define and implement the Estate operational considerations and measures to support laboratory/Innovation spaces on campus.
  • Accountable for ensuring Health & Safety, emergency procedures and safe working practices are established, acting as custodian ensuring all aspects of Property Management Operations and Health and Safety requirements are complied with, maintained and conform with current legislation.
  • Conduct regular audits of all Estate areas to ensure that standards of cleanliness and presentation are upheld throughout, both in upfront public spaces and “back‑of‑house” service areas.
  • Management of the service road, loading bays and car parks.
  • Lead on Sustainability & Biodiversity across the Estate.
  • Pro‑actively procure services for the Estate, following the company procurement guidelines where required.
  • Lead and manage the ‘Waste’ operation and develop the strategy for the Estate.
  • Act as Responsible Person and Senior Fire Warden in the event of an emergency.
  • Provide support to all retail occupiers to ensure they comply with current legislation by undertaking regular physical audits of the safety provisions they have in place and providing recommendations / advice as required.
  • Management of incidents on the Estate, and handling of complaints, insurance claims and disputes.
  • Act as custodian and ensure that all aspects of the fire safety manual, access equipment and water treatment manuals are complied with and accurately reflect recorded amendments.
  • Work with marketing and the appointed contractor in the design and implementation of landscaping over the Christmas period.
  • Ensure that service specifications, contracts and associated documentation properly represent the service requirements of the Estate.
  • Management of all the main services contracts across the Estate areas, by programming and coordinating security, cleaning, landscaping, fabric maintenance and M&E maintenance, ensuring the requisite standards for the management and delivery of the Estate services are upheld through regular structured monitoring and direct liaison with service providers.
  • Manage the procurement, maintenance and use of all Estate equipment producing and updating maintenance schedules and a capital replacement programme in accordance with the Life Cycle Costing Schedule.
  • Oversee the planned maintenance programme and coordinate reactive maintenance across the Estate in conjunction with the Estate Technical Services Manager.
  • Management and coordination of maintenance to the Estate fabric and hard landscaping, including project work, in line with CDM regulations, including fit‑outs / redevelopment works.
  • Lead and manage the Estate team direct reports ensuring all aspects of staff training, development and general welfare requirements are identified and formally reviewed.
  • Manage events in the public realm; ensuring the marketing and commercial teams are working within the operational and health and safety requirements of the site.
  • Take ownership of the British Land and Estate vision and values ensuring that they are fully integrated into the Estate service provision.
  • Where appropriate, actively promote Estate ‘Occupier services’ and maximise any opportunities pertaining to the presentation of occupier proposals and contracts.
  • Other ad‑hoc duties as directed by the Client Services Director and / or Estates Director.
