British American Tobacco United Kingdom has an exciting opportunity for an Executive Assistant AME in London for 12 months
What are the key objectives and expectations from this role?
Provide comprehensive administrative, organisational, and secretarial support to three senior directors plus their teams within a high-volume multi-tasking environment.
Activities will include interaction with various senior internal and external stakeholders, and the job holder will execute various planning, organising and coordinate activities.
Your key responsibilities will include
- Provided comprehensive executive support to senior functional leaders, including complex calendar management, preparation of presentations/reports, and coordination of leadership meetings.
- Planned and managed domestic and international travel, workshops, conferences, and events, handling logistics, itineraries, accommodation, venues, and stakeholder coordination.
- Delivered confidential administrative support, including expense processing, purchase order creation (Coupa), records management, and compliance with company policies.
- Coordinated employee lifecycle activities, supporting onboarding, transfers, and offboarding through workspace allocation, IT setup, induction planning, and relocation/visa assistance.
- Drove operational efficiency through proactive workload management, continuous process improvement, stakeholder relationship management, and anticipation of team and leadership needs.
What are we looking for?
- Experience operating in a similar Executive Assistant role supporting senior leaders within a large and complex corporate environment.
- Demonstrates strong organizational, prioritization, decision-making, and planning skills, with the ability to anticipate needs and adapt to changing priorities.
- Possesses excellent interpersonal, influencing, relationship-building, and teamwork skills, with the ability to collaborate effectively at all organizational levels.
- Maintains a strong understanding of business priorities, company policies, procedures, and confidential administrative support requirements.
- Advanced user of Microsoft Office (Word, Power Point, Excel, Outlook), with additional knowledge of Concur and Coupa considered an advantage.
