The UK Office Manager will be responsible for the smooth and efficient running of IAG’s UK office operations, with a particular focus on managing the MC Support team, overseeing facilities and office services, and acting as a single point of contact for employee-facing support.
This role is designed to enhance the employee experience and free up senior leadership capacity by centralising and professionalising office administration and support services.
MC Support and Business Services
- Lead, manage and coordinate the MC Support team, ensuring high-quality, consistent support to IAG’s Management Committee.
- Act as the primary contact for executive support needs, including scheduling, logistics, and administrative coordination to ensure seamless operations.
- Work closely with other business support functions across the wider group ensuring collaboration and consistent support.
- Ensure confidentiality, discretion, and professionalism in all MC-related activities.
- Foster a strong relationship with IAG’s Management Committee to support open and transparent business relationships.
- Promote a positive team culture by role modelling collaborative and proactive behaviours, setting clear performance expectations to meet business needs and supporting individual growth and development.
Office and Facilities Management
- Oversee day-to-day operations of the ICAG HQ office at Waterside ensuring a safe, efficient, and welcoming environment.
- Manage relationships with facilities vendors and service providers, including cleaning, maintenance, and security.
- Ensure compliance with health and safety regulations and internal policies.
General Administration
- Provide administrative support for key business services, including reception, mailroom, and meeting room coordination.
- Act as a central point of contact for employee queries related to office services.
- Support onboarding and offboarding processes from a facilities and logistics perspective.
Continuous Improvement
- Identify opportunities to streamline office processes and improve service delivery.
- Gather feedback from stakeholders and implement changes to enhance the employee experience.
Corporate compliance and assurance
- Ensure compliance with UK GDPR and data privacy regulations across all people function related activities
- Support and co-ordinate HQ Business Continuity Planning which includes ensuring plans are up to date on office operations, facilities, and people-related services and liaising with other key stakeholders to align contingency plans across functions.
- Oversee Health and Safety for UK office to maintain a safe, legally compliant, and supportive working environment.
- Proven experience in office management, executive support, or business services in a corporate environment.
- Strong organisational and multitasking skills with attention to detail.
- Ability to anticipate challenges, provide solutions and implement process improvements.
- Excellent interpersonal and communication skills.
- Ability to manage confidential information with of discretion.
- Experience managing teams and working cross-functionally.
- Familiarity with facilities management and vendor coordination.
