Falkland Islands SAR and Support Helicopter Operations
Based in MPA - Monday to Friday – 40 hours a week
We invite applications for the position of Base Administrator at our base in MPA to provideadministrative support to the Search and Rescue (SAR) and Support Helicopter (SH) Operation Teams in the Falkland Islands.
Responsibilities
- General reception duties including dealing with the post and answering the phone.
- Ordering of crew meals daily.
- Ordering supplies for the office and crew rooms.
- Full administration support of the Company vehicles, including maintenance, vehicle insurance.
- Ensure that all BFSAI documents provided by Bristow HR, along with any supporting documents for new hires and visitors to obtain their MPA Base Access Pass, are complete, and facilitate the processing and approval by the BFSAI Pass Office.
- Manage and provide the Airbridge personal baggage allowance report to Falklands Travel.
- Manage and maintain the Accommodation Manager Spreadsheet and Visitor Tracking Spreadsheet.
- Ensure all domestic accommodation is prepared and inspected prior to occupancy for new hires and visitors.
- Liaison with the MOD cleaning contractor, for the cleaning of accommodation and the office spaces.
- Reporting and documenting maintenance issues in the office, hangar, and accommodation with the building custodian or MOD building maintenance contractor and ensuring that the issues are resolved.
- Provide assistance to the Support Helicopter and SAR aircrew, such as assisting with the weekly distribution of the flying programme, arranging tugboats for training and coordinating aircraft fuel timings.
- Implement procedures as and when required in accordance with Company emergency response plans and participate in ERP exercises.
- Act as an integral part of the BHL Safety and Compliance culture ensuring familiarity with the Safety Management System (SMS).
- Providing monthly reports to appropriate internal departments.
- Assisting with the production of monthly reports for external bodies, as required.
- Coordinating all base administrative activities to secure efficiency and compliance to Bristow policies and procedures.
- Other varied administrative duties as requested by the Base Manager’s, Chief Pilot’s, and Chief Engineer’s.
The successful candidate must:
- Have proven demonstratable experience in an administrative role.
- Experience of handling confidential information
- Experience of liaising directly with Customers
- Knowledge of Microsoft office software to at intermediate level;
- Good communication skills both written and verbal
- Strong attention to detail and accuracy
- Must possess the ability to manage, prioritise and focus on the key issues.
- Ability to work on own initiative
- Achieve a demonstrable balance of Safety, Customer Satisfaction, and Efficiency.
