About the Role

BrightTeach SEND Managers are responsible for the day-to-day oversight, administration and coordination of tutoring services for an allocated caseload of children and young people. This is a role that requires excellent organisation, attention to detail, record-keeping and communication skills.

A background in education, social care, or special educational needs is advantageous. In addition, we are looking for someone who is excellent at communicating and building positive, professional relationships with parents and carers, tutors, schools, local authorities, and other partners, ensuring that information is communicated clearly and actions are followed through.

As a highly efficient administrator, you will coordinate your own caseload, maintain accurate, up-to-date records, and oversee each student's tutoring arrangements. BrightTeach's systems, data and reports will be used to monitor delivery, identify outstanding actions, and ensure that issues are resolved or escalated appropriately.

The role requires a team player and solution-focused problem-solver who can work independently, manage competing priorities, and seek advice when required. You will also contribute to the continued growth and development of BrightTeach by providing a consistently high standard of service to families, tutors and clients.

This role involves supervising and supporting those who work with children and young people and is subject to an Enhanced DBS check. Key Responsibilities

  • Coordinate an allocated caseload of children and young people, acting as the main point of contact for families, tutors, schools, local authorities and other professionals.
  • Review referrals, gather and record essential information, liaising with commissioners, parents and carers and supporting the matching of approved learners with suitable tutors.
  • Complete initial assessments, risk assessments and required documentation in line with BrightTeach procedures before tuition begins.
  • Coordinate the start of new tutoring arrangements, confirming that arrangements, information and records are in place and that all necessary actions have been completed.
  • Monitor provision and progress through regular contact with tutors, families and commissioners, following up on concerns or delays.
  • Use case management systems and reports to track actions, maintain accurate records and identify gaps or inconsistencies to avoid unnecessary delays.
  • Maintain BrightTeach's databases and case management systems to a high standard, ensuring records are complete, accurate and up to date and that errors or inconsistencies are identified and corrected promptly.
  • Respond promptly and professionally to queries and concerns, resolving routine matters independently and seeking advice or escalating where appropriate.
  • Support quality assurance and reporting activities by collating, checking and presenting information and data as required.
  • Follow BrightTeach's procedures and agreed ways of working consistently, including the Tutor Supervision and Support Procedure and Student Support Policy.
  • Keep safeguarding at the core of your work by following BrightTeach's safeguarding policies and procedures, maintaining accurate records, promptly reporting concerns and seeking advice from the DSL or DDSL whenever required.

Skills and Abilities

  • Strong organisational and administrative skills, with excellent attention to detail, including the ability to produce and check work for accuracy, maintain accurate and up-to-date records, follow established processes and ensure actions are completed within required timescales.
  • Proficient ICT and data management skills, including confident use of databases, spreadsheets and case management systems to maintain accurate records and monitor performance.
  • Good analytical and reporting skills, with the ability to collate, interpret and present information and data to support service planning, reporting and continuous improvement.
  • Excellent written and verbal communication, interpersonal, customer service and relationship building skills, with the ability to communicate promptly and professionally with a wide range of people, build positive working relationships, manage difficult conversations and elevate issues appropriately.
  • The ability to read, understand and apply policies and procedures, proactively using available guidance and resources to find answers and resolve queries independently, while recognising when advice or escalation is required.

Experience - Essential

  • Significant experience in delivering high-quality, detail-oriented administrative support, demonstrating accuracy, reliability, and a proactive approach to managing complex tasks
  • Experience communicating with families, professionals or other services from education, health and social care.
  • Experience coordinating administrative work or casework, managing competing priorities and deadlines, and maintaining accurate digital records to track actions.

Experience - Desirable

  • Previous experience working in education, SEND, children's services, healthcare, social care or another environment involving sensitive case or service user information.
  • Knowledge or experience of alternative provision.
  • Previous experience of safeguarding procedures or working in a safeguarding-focused environment.
