The Role
You will be a key point of contact for schools, helping to coordinate photography schedules, respond to enquiries and ensure everything runs smoothly. Building positive, long-term relationships with schools is an important part of the role, so we’re looking for someone who genuinely enjoys helping people and communicating with a wide range of contacts. You’ll need a calm, patient and understanding approach, particularly when dealing with concerns or complaints. The ability to listen carefully, understand the issue and find a helpful solution will be essential.
Key Responsibilities
- Acting as a main point of contact for schools, responding to telephone calls and email enquiries.
- Building and maintaining positive relationships with school contacts.
- Coordinating photography schedules, appointments and arrangements with schools.
- Managing customer queries and ensuring information is communicated clearly and accurately.
- Handling complaints or concerns with empathy, professionalism and a solution-focused approach.
- Listening carefully to customers, understanding their needs and resolving issues wherever possible.
- Liaising with internal teams to ensure school requirements are met and schedules run smoothly.
- Maintaining accurate records and updating relevant systems.
- Following up on outstanding queries to ensure customers receive a timely response.
- Providing general administrative support to the wider team when required.
About You
We’re looking for someone who is naturally friendly, approachable and organised, with a genuine commitment to providing excellent customer service. You will ideally have:
- Previous experience in customer service, customer support, school administration, scheduling or a similar role.
- Excellent communication and listening skills.
- The ability to build rapport and develop strong working relationships.
- A patient, empathetic approach when dealing with complaints or sensitive situations.
- Strong organisational skills and the ability to manage several tasks at once.
- Good attention to detail and confidence using email, Microsoft Office and computer systems.
- A proactive attitude and a willingness to help colleagues in a close-knit team.
Experience dealing with schools would be advantageous but is not essential. The right attitude, communication skills and ability to build trust with customers are just as important.
Working Hours & Holiday Arrangements
Monday to Friday, 8:30am–5:00pm. 30-minute lunch break. Four-week summer shutdown, from the end of July to the end of August. Two-week Christmas shutdown, in addition to bank holidays. Two additional days off around the Easter bank holidays. The allocation of annual leave during shutdown periods will be confirmed with the employer.
What’s on Offer?
A full-time, permanent position within an established family-run business. A friendly and supportive team environment. A varied role where building relationships and helping customers genuinely matters. The opportunity to become a valued member of a close-knit team.
