The Opportunity: Bright’s Aura office is a busy, people‑centred environment that runs best when someone takes genuine ownership of the day‑to‑day. Reporting to the Office Manager, this is a part‑time role created to ensure the office operates smoothly — from facilities and supplies to visitor management and team support.
What Will You Do?
General Administration
- Communications: Handling all physical mail — inbound and outbound.
- Database Management: Keeping facilities contact information and operational databases up to date.
- Delivery Management: Making sure all visitors have fob access when they arrive.
- Visitors: Covering the main office door for deliveries and visitors; keeping the sign‑in book up to date and making sure maintenance and repair agents meet required legal guidelines.
- Petty Cash: Recording and reconciling monthly petty cash transactions.
Office Management and Facilities
- Inventory & Procurement: Keeping office supplies stocked — stationery, kitchen items, and anything else the team needs.
- Canteen Food Order: Coordinating lunch requests, organising the weekly canteen shop run, and being on hand for delivery.
- Executive Visits: Supporting lunch orders and other logistics when C‑Suite are in the office.
- Equipment & IT: Flagging issues with printers, computers, and office systems to the IT team.
- Facility Maintenance: Keeping the workspace orderly, secure, and well‑maintained — coordinating with building management and repair vendors as needed.
Team Support
- Onboarding: Helping new hires get set up — desk, access passes, and H&S induction.
- Policy Compliance: Making sure day‑to‑day office operations stay in line with health, safety, and organisational guidelines.
What We Are Looking For
Essential
- Previous experience in an office administration, facilities, or operations support role.
- Strong organisational skills and attention to detail.
- A proactive, can‑do approach — comfortable managing a varied workload independently.
- Good communication skills, with confidence dealing with visitors, contractors, and internal stakeholders.
- Comfortable working alongside AI tools; curious about how technology can make you better at your job.
Desirable
- Experience in a fast‑paced technology or SaaS business environment.
- Familiarity with basic financial administration, including petty cash handling.
