We’re recruiting a Workshop Administrator to join our Bathgate team. The Workshop Administrator is responsible for supporting the efficient coordination of fleet maintenance activities, ensuring servicing, inspections and repairs are scheduled effectively while maintaining accurate records and liaising with suppliers and service providers.

The role:

  • Coordinate routine fleet servicing, inspections, MOTs, LOLER checks and planned maintenance to keep vehicles and equipment operational.
  • Log, track and progress maintenance jobs through to completion using fleet management systems.
  • Liaise with external workshops, OEMs, suppliers and service providers to arrange timely repairs and reduce vehicle downtime.
  • Source, order and manage parts, components and consumables for HGVs and powered access equipment.
  • Support stock control activities, monitor usage trends and assist with purchasing activities where required.
  • Keep maintenance, service and compliance records accurate, organised and audit-ready in line with DVSA, LOLER and PUWER requirements.

What you will bring:

  • Previous experience in a workshop administration or busy office environment.
  • Strong organisational skills with excellent attention to detail.
  • Confident communicating with suppliers, engineers and external service providers.
  • Good IT skills and experience using Microsoft Office systems.
  • Ability to manage multiple priorities and work accurately in a fast-paced environment.
  • Experience of parts ordering, stock control or maintenance scheduling would be advantageous, but not essential.
