We are seeking an experienced Coordinator to support designated Partners at this outstanding global law firm. This role plays a key part in the financial management of matters, covering billing, collections, client onboarding and inventory management, while building strong relationships with Partners and clients to support timely billing and revenue optimisation.

Key Responsibilities

  • Preparing monthly bills in line with firm billing policies and UK VAT legislation, ensuring bills are approved, posted to the CMS, saved appropriately and issued to clients.
  • Reviewing prebill manager.
  • Uploading e-bills to relevant e-billing platforms and liaising with e-billing teams as necessary and escalating complex billing or client issues when required.
  • Managing client and matter openings, including conflicts checks and Anti-Money Laundering (AML) documentation, with particular responsibility for Company Secretarial matters.
  • Ensuring engagement letters, fee alerts, billing arrangements and currency details are correctly documented at matter level.
  • Monitoring Work in Progress (WIP) for designated Partners, prompting timely billing and ensuring residual WIP is written off where appropriate at matter completion.
  • Organising and leading monthly inventory review meetings with Partners, summarising outcomes and updating collections records and processing time transfers.
  • Conducting client reviews to verify client and matter arrangements and producing and distributing weekly WIP updates to clients where requested.
  • Liaising with clients on Accounts Receivable matters to confirm invoice receipt and resolve queries promptly, updating the collections system and escalating issues where necessary.
  • Processing write-offs in line with firm policy and maintaining supporting documentation and providing AR and WIP information in response to audit requests.

Skills & Experience Required

  • Minimum of two years experience in billing and collections, ideally within a law firm or professional services environment.
  • Strong working knowledge of billing systems (preferably Aderant) and Microsoft Office, particularly Excel.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and strong organisational skills.
  • Proactive, solution-focused approach with the ability to manage competing priorities.
