The Role

We are looking for an organised and proactive Administrator to provide high-quality support to the Experts at Hand service, ensuring the smooth day‑to‑day running of a busy, multi‑agency cluster.

This is a key role at the centre of the service, acting as the first point of contact for professionals, service providers and stakeholders. You will play a vital part in coordinating administrative processes, supporting meetings, managing information and ensuring that systems run efficiently and effectively.

  • Act as the first point of contact, managing enquiries via phone, email and post in a professional and timely manner.
  • Provide comprehensive administrative support, including scheduling meetings, preparing papers and taking accurate minutes.
  • Support financial processes, including raising purchase orders, processing payments and maintaining records.
  • Maintain and update databases, spreadsheets and records, ensuring accuracy and confidentiality.
  • Monitor shared inboxes and ensure queries and actions are responded to within required timescales.
  • Liaise with internal teams and external providers, acting as a key link across the service.
  • Produce reports and support data collection, including statutory returns.
  • Identify and escalates issues, helping to improve administrative processes and service delivery.

The Person

We are looking for a highly organised and customer‑focused individual with strong administrative experience and a commitment to delivering high‑quality support.

Key skills and experience:

  • Experience providing business or administrative support in a busy environment.
  • Confidence working with data, maintaining accurate records and handling sensitive information appropriately.
  • Strong IT skills, including the use of Microsoft Office applications and databases.
  • Excellent organisational and time management skills, with the ability to manage a varied workload and meet deadlines.
  • Effective communication skills, able to work with a wide range of stakeholders including professionals and members of the public.
  • Experience supporting meetings, including arranging logistics and taking minutes.
  • Proactive in identifying improvements and resolving issues in administrative processes.
  • Strong team player with a flexible and adaptable approach.
