About the role: To provide efficient, proactive administrative and organisational support to the management team/key individual(s), enabling them to focus on their core responsibilities. The PA Assistant will manage diary and travel arrangements, handle communications, coordinate meetings and events, and act as a first point of contact internally and externally.
Key Responsibilities
- Support the PA to maintain diaries, scheduling meetings, appointments and global travel arrangements (including accommodation, transport, visas where required).
- Handling enquiries, taking messages and liaising with internal/external stakeholders.
- Make meeting arrangements: booking rooms, organising catering, e.g. lunches evening meals.
- Support event planning and coordination (internal workshops, team meetings, off-site events) including logistics, attendance lists, materials and post-event follow up.
- Handle confidential information with discretion and maintain high levels of integrity and professionalism.
- Provide ad-hoc project support or administrative tasks as required: research, data collection, expense tracking, supplier liaising.
- Support Senior PA in other tasks when required and to cover in their absence as appropriate.
- Stationary ordering, and local products i.e. ordering fruit and milk weekly.
- PO Management – raising and receipting invoices using the SAP system.
Skills, Experience & Qualifications
Essential:
- Strong administrative/secretarial experience in a fast-paced office environment.
- Excellent organisational skills with ability to multitask, prioritise and meet deadlines.
- High level of accuracy and attention to detail.
- Excellent verbal and written communication skills; professional telephone manner.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and credible comfort with IT systems.
- Discretion and confidentiality when handling sensitive information.
- Proactive, flexible, able to use initiative, anticipate needs, and work well both independently and as part of a team.
Desirable:
- Previous experience as a PA or similar support role.
- Experience in minute-taking and presenting information.
- Basic travel/tour logistics experience.
- Familiarity with expense systems and basic finance administration.
- Ability to liaise confidently with senior stakeholders.
Other Information
This role may occasionally require flexibility beyond normal hours (e.g., early mornings, evenings) when supporting senior calendar commitments.
