About the Role
We are seeking a highly organised, proactive, and systems‑driven Senior Admin Lead to join our Central Hub senior management team. This role plays a critical part in ensuring our service remains compliant, audit‑ready, and consistently delivered. The postholder will lead through strong processes, clear communication, and evidence‑based oversight, supporting high‑quality care delivery across the organisation.
Role Purpose
The Senior Admin Lead sits within the hub’s senior management structure, reporting to the Registered Manager, and holds delegated authority over Central Hub operations, standards, and coordination. The postholder has shared accountability for keeping the service compliant, audit-ready, and consistently delivered, leading through strong systems, clear communication, and evidence‑based oversight.
Key Responsibilities
- Hold delegated authority from the Registered Manager over Central Hub operations, with admin functional oversight of the Rota Coordinator and Care and Compliance Coordinator(s); escalated corrective action and track resolution where gaps arise.
- Own the systems, procedures, and action log that keep the hub organised, compliant, and audit‑ready, providing regular updates to the Registered Manager on risks and progress.
- Monitor performance dashboards across key service indicators, identify patterns, and elevate concerns to the Registered Manager.
- Coordinate every new start of care from referral to first visit, ensuring funding, rotas, documentation, and the service user’s home folder are all in place before care begins.
- Maintain regulatory trackers, coordinate audits, and keep evidence packs and governance records current and deadline‑ready.
- Support the Registered Manager with concerns and complaints, policy administration, and sign‑off tracking, upholding confidentiality and compliance with data protection and health and safety requirements.
- Manage annual leave planning within delegated authority, maintaining a live planner and ensuring rota cover and service continuity.
- Coordinate staff onboarding, maintain workforce trackers for training, supervision, appraisals, and key expiry dates, and ensure records are accurately evidenced and uploaded to BreatheHR.
- Own the training matrix, coordinate all internal and external training bookings across BSH, and manage the Skills for Care National Minimum Data Set.
- Act as first point of contact for BSH, managing all incoming calls and communications and ensuring every enquiry is logged, directed, and followed through professionally.
- Support service growth by managing the referral‑to‑start pipeline, maintaining contact logs, and contributing to marketing materials and outreach that attract new referrals.
- Oversee payroll and invoicing through Access People Planner, submitting invoices via Local Authority and NHS portals and maintaining a full audit trail of submissions and corrections.
- Keep the office inspection‑ready, monitor PPE stock, and maintain accurate asset, filing, and version control records so information is reliable and easily accessible.
