Role Overview

  • Reports to: PPM Manager
  • Direct Reports: None
  • Location: Ampfield, Romsey
  • Department: Planned Preventative Maintenance team
  • Job schedule: Full time, 42.5 hours per week, 8:00am – 5:00pm, Monday to Friday, Temporary Contract (12 months)

Purpose

Responsible for coordinating and managing contract activities, ensuring all maintenance works are planned, tracked, and reported accurately, enabling efficient service delivery and full operational visibility.

Key Responsibilities

  • Coordinate scheduling and delivery of all planned, reactive, and remedial works
  • Maintain accurate and compliant CAFM data, ensuring all jobs, documentation, and records are up to date
  • Ensure full visibility and tracking of work orders, including progress, risks, and completion
  • Support compliance by maintaining documentation, certification, and audit readiness
  • Produce accurate and timely performance reports and insights
  • Act as a central coordination point between engineers, clients, and subcontractors
  • Support financial processes including purchase orders, quotes, and cost tracking
  • Identify and improve inefficiencies in scheduling, processes, and workflows

Essential Skills, Knowledge and Capability Needed

  • Strong coordination or administration experience in a fast-paced environment
  • Experience using CAFM systems or similar platforms
  • High attention to detail and data accuracy
  • Strong organisational and planning skills
  • Ability to manage multiple priorities and respond quickly to changes
  • Good communication and stakeholder management skills
  • Numerical and reporting capability
