BRC are working with a housing association who are based in the south of England. This role involves anticipating, prioritising and providing strategic support to the Executive Director to carry out all aspects of their work - including liaising with Board Members and senior stakeholders. The chosen candidate will maintain workflow and priorities to deliver what is required within tight deadlines and to support the wider team to deliver the company goals. They will also undertake project management & background research on topics related to the business and present findings to the Executive Director / Executive Board.
Duties:
- Anticipate, prioritise and provide strategic support to the Executive Director to carry out all aspects of their work.
- Maintain workflow and priorities to deliver the company goals.
- Prepare regular and ad hoc reports and presentations, including research information and present findings to the Executive Director / Executive Board.
- Manage projects on behalf of the Executive Director / Executive Board.
- Respond to written and telephone enquiries from internal and external customers and stakeholders within deadlines, including dealing with complaints.
- Screen phone calls, enquiries and requests, and handle them personally whenever possible.
- Organise, service and minute regular and ad hoc meetings, including managing meeting agendas.
- Ensure the Executive Director is well prepared for meetings & when required provide ad hoc support to the Executive Board.
- Log/reconcile financial activity (for example purchase orders and invoices, business credit card statements and receipts), mileage claims and expenses, process holiday requests and timesheets as necessary.
- Create, review, proof-read and amend policies and procedures relating to the Executive Director or other Directorates where appropriate.
- Be familiar with business operations to be able to accurately “signpost” colleagues to key individuals or information they require.
- Spearhead and engage with teams/directorates to promote cross-Directorate cohesion, best practice, social value and value for money opportunities as well as contributing to team projects.
- Promote good risk management practice and value for money and record to relevant registers.
- Assist with induction of new joiners to the Senior Leadership Team and support them into their role where required.
- Understand business strategies and goals and support the group's values and strategic objectives and adhere to all the group's policies and procedures and behavioural frameworks in place.
Requirements:
- High levels of literacy and numeracy.
- An ability to undertake project-based work and research is essential.
- Energetic and enthusiastic with excellent organisational and prioritisation skills.
- Communicate effectively and professionally to internal and external customers to encourage long-term relationships.
- Provide confidentiality on all matters related to the Executive Directors.
- Be calm and collaborative in a rapidly changing environment.
- Able to work autonomously but also a strong team player.
- High level of engagement and self-motivating, using initiative and common sense.
