The role:
The role of business support co-ordinator is multi-faceted, probably different every day, but with a basis as to provide comprehensive support across finance activities and day-to-day HR administration, ensuring the smooth running of financial processes and the effective handling of everyday people-related tasks.
The role supports the Directors and Head of Finance by maintaining accurate financial records, overseeing and performing credit control activities, processing purchase orders and reconciliations, and assisting with month-end activities. Alongside this, the role takes care of daily HR activities such as maintaining employee records, supporting onboarding and offboarding, coordinating holiday and absence tracking and handling routine HR queries. This ensures the leadership team is well supported with the practical, day-to-day people administration that keeps a busy office running smoothly.
Key responsibilities:
- To assist in the management of the credit control process for the business, checking that aged debt is monitored and proactively following up with clients to ensure that invoices are paid within the time scales agreed.
- Assistance in the issuing of quotes so invoices can be issued and tracked to ensure book-keeping can be effectively completed.
- Skill set with Xero is essential as this is the tool we use to complete timely and regular bank reconciliations to ensure that all transactions are recorded effectively so that VAT returns can be accurately submitted.
- Compliance is a growing area in business and they are at the forefront of this. The aim is to maintain and continuously improve the company’s ISO management systems, ensuring compliance with relevant standards and certification requirements.
- Working with the Directors to plan, co-ordinate and support internal and external audits, ensuring that corrective and preventative actions are identified, implemented and tracked to completion.
- Work with the outsourced HR partner to co-ordinate and review company policies, procedures and documentation to align with ISO standards, driving a culture of quality and continuous improvement within the business.
- Oversee the day-to-day management of the office environment, including building maintenance, supplies, cleaning contracts, health and safety to ensure a safe and functioning office.
- Supporting the outsourced HR partner, administer HR processes across the business and full employee life-cycle, ensuring the right recruitment processes are followed, right to work and reference checks are completed and the induction processes are effectively undertaken.
- To manage the HR management system and ensure it is kept up to date.
- To ensure the business is appropriately resourced by accurately tracking holiday and absence to ensure we know who is working and when.
