We are seeking a proactive Helpdesk Co-ordinator to act as the central dispatch anchor for our busy Facilities Management team. You will handle end-to-end work orders for all commercial building maintenance, asset repairs, and compliance issues.
Mandatory Requirement: You must have direct, practical experience utilizing CAFM software (e.g., Joblogic, Maximo, Concept, Planon) to log, track, and close maintenance tasks.
Key Responsibilities
- CAFM System Administration: Take daily ownership of the CAFM platform—inputting reactive requests, updating asset logs, and tracking Planned Preventative Maintenance (PPM) cycles.
- Work Order Allocation: Triage incoming client maintenance faults, determine priority levels, and allocate tasks to engineers with the correct mechanical or electrical skillsets.
- SLA & Performance Tracking: Run daily service reports to monitor outstanding jobs, tracking mobile engineer progress to prevent contract SLA or KPI breaches.
- Contractor Coordination: Supervise external sub-contractors, managing scheduling windows, site access permits, and compliance paperwork.
- Stakeholder Liaison: Act as the main point of contact between field engineers, sub-contractors, and corporate clients regarding job updates and scheduling.
What We Are Looking For
- Essential: Proven experience navigating CAFM, IWMS, or field-service management software.
- Prior coordination, scheduling, or helpdesk experience within a Facilities Management (FM) or building services environment.
- Foundational technical awareness of mechanical and electrical (M&E) building services to effectively triage maintenance requests.
- Strong IT literacy, particularly across Microsoft Office (Word, Outlook, Excel).
- Excellent time management and the ability to multitask calmly under pressure.
