Branta Recruitment is seeking a proactive, highly organised, and experienced Senior Facilities Administrator to join a fast-paced FM operations team. This isn't just a standard admin role; as a Senior Coordinator, you will be the "engine room" of the service delivery team. You will take ownership of the end-to-end job lifecycle, ensuring that our engineers are in the right place at the right time and that our clients receive a premium level of service.

In addition to being the primary point of contact for key accounts, you will take a lead role in managing complex scheduling and operational workflows.

Key Responsibilities:
  • Client Relationship Management: Act as the senior point of contact for client enquiries, managing expectations and providing high-level updates on reactive and planned works.
  • Complex Scheduling: Coordinate and dispatch a team of mobile engineers and sub-contractors, optimising travel time and ensuring SLAs are met across the North East and beyond.
  • Job Lifecycle Oversight: Log, manage, and "close out" jobs with precision, ensuring all technical reports and compliance documents are uploaded correctly.
  • Financial Administration: Oversee the invoicing process, ensuring jobs are costed accurately and supporting the management team with P&L data and spend reports.
  • SLA & KPI Tracking: Monitor open work orders to ensure no jobs "fall through the cracks," proactively addressing potential delays before they impact the client.
  • Team Support: Provide guidance to junior administrators and assist in the refinement of helpdesk processes to improve efficiency.

We are looking for someone who "knows the industry" and can hit the ground running in a busy maintenance environment.

Requirements:
  • Experience: Previous experience in a Facilities Management (FM) or Building Services helpdesk role is essential.
  • Technical Familiarity: A solid understanding of maintenance terminology (e.g., HVAC, plumbing, electrical) to effectively categorise job urgency.
  • Software Proficiency: Highly capable with Microsoft Office and experienced in using CAFM systems (such as BigChange, SimPRO, Concept, or Maximo).
  • Communication: Exceptional phone manner and the ability to remain calm and professional under pressure.
  • Organisation: A natural multi-tasker with a sharp eye for detail—essential for managing engineer rotas and complex invoicing.
