We are looking for an organised and analytical Scheduler / Technical Helpdesk Coordinator to manage the scheduling and workflow of our centralised Facilities Management (FM) Helpdesk. You will triage reactive maintenance requests, schedule engineers based on their skills and location, and manage our CAFM system. This role is ideal for an experienced scheduler who understands building maintenance, works well with data in Excel, and enjoys working in a collaborative team.

Key Responsibilities

  • Scheduling & SLA Management: Manage incoming maintenance requests, assign priority levels, and dispatch work orders to the correct internal engineers or contractors.
  • PPM Planning: Correctly schedule and track all Planned Preventative Maintenance (PPM) tasks within the CAFM system to meet strict deadlines.
  • CAFM Administration: Maintain the CAFM database and asset register. Update subcontractor files, handle system modifications, and liaise with software providers.
  • Reporting & Data Analysis: Run daily performance reports using Excel to identify backlog trends, chase outstanding jobs, and track SLA performance.
  • Stakeholder Liaison: Build strong relationships with local operations teams, contractors, and engineers to quickly resolve scheduling conflicts.
  • Team Support: Role-model a supportive, coaching-led approach to help train and guide junior helpdesk administrators.

Essential Criteria:

  • Technical Knowledge: Educated to A-Level standard or equivalent, with a good understanding of Mechanical & Electrical (M&E) Building Services.
  • Industry Experience: Proven track record working within a busy Facilities Management or Engineering helpdesk environment.
  • IT Skills: Highly proficient with CAFM software, mobile PDA engineer systems, and Microsoft Office (particularly formatting data in Excel).
  • Workload Management: Able to independently prioritise tasks, manage shifting priorities, and maintain high data accuracy under pressure.
  • Communication: Strong interpersonal skills to confidently communicate updates across all levels, from frontline staff to directors.
