The predicted salary is between 12493 - 12493 £ per year.

We are looking for a part time receptionist to join our friendly team for 19 hours per week. The successful candidate will be required to work a fixed work pattern each week:

  • Thursday - 1:00pm - 6:00pm
  • Friday - 1:00pm - 8:00pm

There will also be a requirement to work additional hours from time to time, to cover other staff holidays and/or sickness. Previous experience in a similar role would be an advantage but not essential as full training will be given.

Main duties of the job

The main purpose of the post is to ensure that all first point of call contacts with the Practice, whether by telephone, online or in person, be handled efficiently, effectively and courteously.

Job Responsibilities:

  • Opening premises when required, as per the Opening Up Procedure.
  • Closing premises when required, as per the Closing Down Procedure.
  • Receiving patients on arrival, answering general enquiries, explaining Practice procedures, making new and follow-up appointments, dealing with other visitors and deliveries, ensuring safe handling of medical equipment and consumables.
  • Operate the electronic and paper repeat prescription system, within the specified timeframe of a maximum of 72 hours.
  • Take and pass on accurate messages to include time, date, name and contact details of caller, reason for call and name of message taker.
  • Perform additional daily tasks to include but not limited to: filing; reception work tray; tidying of waiting room and removal of old magazines; tidying the entrance/front of the building and actioning tasks received via the clinical system.
  • Perform additional monthly tasks to include but not limited to: cleaning waiting room toys and computer keyboards; ensure waiting room notice boards are tidy and up to date; review lost property box; check prescription and letters boxes for uncollected items.
  • Ensure Consulting Rooms and Reception are kept tidy and adequately stocked with stationery and routine documentation, ready for the following working day.
  • Ensure that outgoing post has been prepared and sent on a daily basis.
  • Making tea and coffee for the Doctors.
  • To perform any other duties as required, commensurate with the post, for which the post holder has the necessary experience and/or training.

Person Specification

Experience:

  • Previous IT experience, in particular Microsoft Office.
  • Previous experience within a front facing role.
  • Previously worked in the NHS.
  • Experience in the use of SystmOne Clinical System.

Knowledge & Skills:

  • Recognises issues of a confidential nature.
  • Works accurately and with attention to detail.
  • Maintains strict confidentiality at all times.
  • Effective Communication Skills: Good listener, able to check understanding and give clear, precise instructions or advice.
  • Confident and clear in face to face and telephone discussions.
  • Familiar in use of telephone, photocopiers and similar office equipment.
  • Ability to exercise sound judgement and common sense.
  • Helpful and friendly nature.
  • Self reliant.
  • Resourceful.
  • Flexible, willing to learn new tasks.
  • Understanding of working structure of NHS.

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.

£12,493 a year - FTE pay is £24,657 per year.
