An award-winning multidisciplinary construction consultancy with offices across the UK is seeking an Administrator to join our Cambridge office. The successful administrator will bring a positive, can-do attitude and take real pride in delivering high-quality support across the business.
This is a key position within the Practice, responsible for providing professional and efficient administrative assistance to multiple teams, while working in line with the company's values and objectives.
Key Responsibilities- Providing administrative support to three professional teams
- Supporting other members of the admin team as required by the Office Manager
- Managing Outlook calendars for Directors and Team Leads
- Arranging meetings, preparing agendas, taking minutes, and managing actions
- Ordering refreshments and lunch for client and staff meetings
- Coordinating travel and accommodation, including site access arrangements
- Completing audio and copy typing tasks when requested
- Assisting with telephone and email enquiries for the Cambridge office
- Providing reception support, including conference room allocation and preparation
- Setting up new projects and archiving project information upon completion
- Ensuring purchase orders are entered into the MIS and invoices correctly attached
- Processing and circulating reports in line with internal standards
- Supporting the issuing of fee quotes and inputting data into the CRM system
- Assisting with bid submissions for new work
- Supporting with specifications, certificates, and contract instructions
- Producing tender analysis documentation
- Preparing client invoicing in consultation with Team Leads
- Providing monthly financial reports to Team Leads
- Inputting contractor timesheets into the system
- Assisting with marketing materials such as project profiles and CVs
