Our client is an established business, based in Stoke on Trent, having experienced growth in the last few years. They are now seeking an experienced Receptionist/Administrator to oversee the running of certain office functions such as Facilities Management, Directors travel, and ordering of office supplies. This integral role is very diverse and allows the holder to liaise with both internal stakeholders and external suppliers. This role will be located in the reception area, so it is customer-facing as well.

Job Description:

  • Visitor Management: Greeting, directing, and checking in visitors, and providing security passes when necessary.
  • Communication: Answering and directing phone calls, responding to emails, and taking messages.
  • Scheduling: Booking meetings, managing calendars, and making appointments. Organising buffets as required, sometimes picking up.
  • Administrative Tasks: Handling incoming and outgoing mail, managing filing systems, and data entry, getting paperwork ready for board meetings.
  • Office Upkeep: Maintaining a tidy reception area, managing office supplies, and coordinating with vendors like cleaning or IT staff.
  • Customer Service: Answering inquiries, providing information about the company, and assisting clients.
  • Financial Duties: Handling petty cash and processing expenses. Coding invoices for customer buffets, hotels, and taxis.

For the Reception/Administrator role, it would be good to see candidates with the following experience:
