We are looking for a candidate to work 37.5 hours per week within our Medical Administration Team, based at our main site in Brampton. Applicants will need to have a keen eye for detail, ability to work to process, complete work efficiently and within KPIs, possess a good telephone manner, have good communication skills, and be a team player who can also work well independently.

Main duties of the job:

  • Provide a comprehensive administrative and secretarial service to Doctors, Health Professionals and other staff at the Practice.
  • Input data from clinical correspondence into electronic patient notes, and administer the practice patient call and recall systems.
  • Work strictly in accordance with the appropriate Practice protocols.

About us:

We are a semi-rural dispensing and training practice led by 6 dedicated GP Partners, Business Manager and Senior Management Team serving a population of around 16,700 patients. We operate over 4 sites, 2 of which are based in Brampton, 1 at Wetheral and 1 at Corby Hill.

Job responsibilities:

  • Provide an efficient typing and word processing service for GPs and Health Professionals as required, including the typing of letters, reports, patient referrals, minutes etc in an accurate and quality manner.
  • Exchange information with patients and staff regarding appointments, bookings and admissions as required.
  • Liaise and arrange meetings as required and attend meetings to take minutes where applicable.
  • Manage the NHS e-referral service supporting the GPs to use it effectively.
  • Process and store patient information using established filing and administrative systems ensuring that written or computer information is easily accessible and secure.
  • Receive incoming and initiate outgoing telephone calls and other forms of electronic communication to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • Process SAR and other requests for medical records, including requests received through IGPR.
  • Maintain the computerised medical records in an accurate and secure manner.
  • Assist with the gathering of statistics and information when required.
  • Code all clinical information onto the practice clinical system (EMIS).
  • Provide cover for members of the secretarial team during periods of sickness and annual leave.

Person Specification:

Skills and Knowledge:

  • Ability to use own judgement and common sense to take action to resolve problems or refer to the appropriate person.
  • Excellent communication skills and telephone manner.
  • Good organisational skills.
  • Ability to prioritise workload under pressure.
  • Be self-motivated and able to work with limited or without supervision.
  • Exercise sensitivity and tact when dealing with patients/family members particularly when dealing with highly emotional issues.
  • Familiarity with EMIS software.
  • Understanding of medical terminology.
  • Experience in a healthcare setting / NHS.
  • IGPR Electronic reporting and record screening to process detailed and redacted medical records.

Qualifications:

  • Good standard of general education 5 GCSE including English and Maths Grade 4 and above.
  • OCR (RSA) 3 or equivalent experience.
  • AMSPAR Diploma or equivalent experience.
