Main duties of the job:
- Welcome patients in person and over the phone, providing a warm, professional and reassuring first point of contact.

We are seeking a motivated and proactive Medical Receptionist with strong interpersonal, administrative and IT skills to join our team. You’ll be working alongside experienced colleagues who are committed to supporting your development and success within the role.
Working hours:
- Monday: 08:00 – 18:30
- Tuesday: 14:00 – 18:30
- Friday: 14:00 – 18:30
Previous experience in a similar role is desirable; however we welcome applications from candidates with transferable skills as full training will be provided.

Key Responsibilities:
- Welcome and assist patients and visitors, providing a warm and professional first point of contact.
- Answer incoming telephone calls, documenting and directing them appropriately.
- Book, amend and cancel patient appointments in line with practice procedures to ensure maximum efficiency.
- Be available to work 45 days per week, with flexibility across varying shift patterns.
- Respond to patient enquiries, liaising with GPs, nurses and other healthcare professionals as needed.
- Ensure all tasks assigned by GPs and administrative staff are completed accurately and in a timely manner.
- Maintain clean, tidy and well-stocked reception, waiting areas, and clinical rooms.
- Process home visit requests and accurately update patient records on the clinical system.
- Use the practice’s online booking and triage system (AccuRx), including:
- Booking patients as advised by the Duty Doctor.
- Supporting patients with online triage queries.
- Submitting requests on behalf of patients where required.
- Monitoring and completing triage requests promptly.
- Support all reception and administrative tasks as directed by the practice team.
- Maintain a strong understanding of practice procedures, policies and protocols.
- Ensure all daily tasks are completed and systems are kept up to date.
- Monitor the AccuRx triage system throughout the day.
- Clear and restock rooms after surgeries.
- Complete mandatory training and ensure compliance with GDPR, practice policies and safety procedures.

Experience:
- GCSEs (or equivalent) in English and Maths (Grades AC / 94).
- Proven experience in customer service or a front-of-house/reception role, ideally within a busy environment.
- Strong IT skills with confidence using computer systems and learning new software.
- A professional and confident telephone manner with the ability to communicate clearly and courteously.
- Excellent written and verbal communication skills with a friendly and approachable style.
- Flexible and reliable with the ability to work additional hours when required.
- Effective time management and organisational skills, able to prioritise tasks in a fast-paced setting.
- Previous experience working in an NHS or primary care setting.
- Knowledge of NHS systems, policies and procedures.
- Experience using clinical IT systems and online consultation or triage platforms (e.g. AccuRx, EMIS or similar).
- An understanding of confidentiality, data protection and information governance within a healthcare environment.
- Ability to work effectively under pressure and manage competing demands.
- Experience of working collaboratively as part of a multidisciplinary team.
- A flexible and adaptable approach to work, with a willingness to undertake training and development.
