Brainology is looking for an energetic, organised and highly personable Centre Administrator to join our Perry Barr centre every Saturday.
This is much more than a back-office admin position. You will be one of the faces of Brainology β welcoming children and parents into the centre, supporting new trial students and helping us ensure every family receives an exceptional experience from arrival through to collection.
We need someone who is confident, warm, proactive and extremely organised, with the ability to communicate professionally with children, parents, teachers and our management team.
Your Role
Your responsibilities will include:
- Meeting and greeting children and parents as they arrive at the centre
- Welcoming new trial students and helping them feel comfortable and excited about their first session
- Registering trial students and ensuring all required information is captured correctly
- Preparing, organising and handing out learning resources
- Checking expected trial students against the register
- Following up with parents where a child was expected to attend but has not arrived
- Checking in with trial students throughout the day and making sure they are having the best possible Brainology experience
- Speaking with children and gathering feedback about how they found their lessons
- Assisting with the smooth running of lunch and break periods
- Liaising with teachers to collect detailed feedback for every trial student
- Ensuring every teacher provides full trial feedback on the same day
- Working alongside the Site Manager to provide parents with a professional handover at collection
- Ensuring all trial feedback and information is properly recorded and ready for the Sales Team to pick up and follow up with parents on Monday
- Supporting new student registrations and general centre administration
- Maintaining accurate attendance and student records
- Supporting incident reporting and ensuring the correct procedures are followed
- Helping the Site Manager ensure the centre remains organised, professional, welcoming and well-run throughout the day

- Comfortable with administration β including registrations, attendance, record keeping, feedback and incident reporting
Previous experience within education, tuition centres, schools, childcare, reception, administration or customer-facing environments would be highly beneficial.
Safeguarding & Working With Children
As this is a child-facing position, safeguarding is extremely important to Brainology. The successful applicant must:
- Hold, or be willing to obtain, an appropriate Enhanced DBS check for working with children, including a Children's Barred List check where applicable
- Hold or complete appropriate Safeguarding Children training
- Follow Brainology's safeguarding and child protection policies at all times
- Follow the correct procedures for recording and escalating incidents or safeguarding concerns
- Be legally entitled to work in the UK
Self-Employed Contractor Position
This role is offered on a self-employed contractor basis. Applicants must be registered as self-employed with HMRC and have a valid UTR (Unique Taxpayer Reference). As a self-employed contractor, you will be responsible for declaring your own income and managing any applicable Income Tax and National Insurance obligations directly with HMRC.
