Unit Secretary

Location: Glasgow

Salary: up to £23,252.25

Hours: 35 hours per week Monday to Friday 9am – 5pm.

Our assessment centres, rehabilitation units and hospitals use expert neurorehabilitation to support people to regain the skills they have lost. Main purpose

To work as part of the multidisciplinary team, providing a clerical service to support the management team and rehabilitation staff delivering care in an assessment and rehabilitation centre.

Main tasks and responsibilities

  • To provide effective, high quality and timely support to the Management team and Business Administrator in order to enable to meet the priorities and objectives of the service.
  • Process all emails received, prioritise according to urgency/importance and regular monitoring of work to ensure deadlines are not missed or action delayed.
  • Open all incoming post, read and copy to all interested parties.
  • Request and collate briefing for meetings etc.
  • To provide support in the compiling of the financial reports and Business plan.
  • Working with other internal and external services regarding paperwork, meetings etc.
  • Provision of a speedy and accurate typing service, from audio dictation or manuscript, using WP software extensively to improve efficiency and to achieve a high standard of presentation.
  • Effective communication with staff at all levels, ensuring the efficient collation and distribution of information.
  • Deal helpfully and constructively with all telephone enquiries.
  • Ensure that all the unit petty cash records are maintained correctly and to the strict deadlines.
  • Hand out and monitor the unit petty cash.

Client Referrals/Records

  • Effectively collate and input data for waiting/referral list.
  • To be responsible for in putting information into electronic patient records where applicable.
  • Ensure the manual client records are available for clients admissions.
  • Ensure the computerised and manual client administration systems are kept up to date.
  • Responsible for maintaining client records within agreed standards.
  • Liaise with other services for case notes, diagnostics, x-rays etc.
  • Ensure that client financial records are maintained and updated regularly.

Staff Team Support

  • Act as a source of advice on clerical matters to staff.
  • To provide clerical support in the typing of reports and other documentation.
  • To provide an effective and efficient turnaround of work.
  • To assist in receiving any visitors and callers, ensuring the attention of appropriate staff to same and dealing with any enquiries.

About you:

  • Familiar with Microsoft Office
  • Skilled touch typist with RSA qualifications or equivalent
  • Proven experience of working within a pressurised environment
  • Excellent communication skills, both oral and written
  • Ability to prioritise workload effectively in a busy environment and meet specified deadlines
  • Good organisational skills
  • Experience of working within a care environment
  • Experience of banking and administration procedures
