We are excited to be expanding our auctions team with a newly created role for an Auction Coordinator to join our growing team in Newcastle. This is an excellent opportunity for a highly organised and proactive individual to support the continued growth and success of the department. The successful candidate will play a vital role in the day-to-day administration of auction processes, providing essential support to the wider team, liaising with clients, and ensuring compliance with industry regulations. This varied role offers an excellent opportunity to grow within a dynamic and fast-paced environment.
Responsibilities:
- Proactively chasing vendors for required Anti-Money Laundering (AML) documentation in line with regulatory requirements.
- Accurately uploading, updating, and managing property data across internal systems.
- Conducting due diligence checks on auction listings to ensure all documentation and property information is complete and compliant.
- Handling and responding to viewing enquiries from prospective purchasers in a professional and timely manner.
- Drafting and processing memorandums of exchange following auction sales.
- Instructing solicitors and proactively chasing outstanding legal packs and documentation.
- Monitoring, recording, and reporting on the source of incoming leads for auction properties.
- Carrying out conflict of interest checks in accordance with company policies and procedures.
- Sending contracts, legal packs, and other key documentation to clients, solicitors, and stakeholders.
- Providing comprehensive administrative support to the auctions team, assisting with any additional duties as required to ensure the efficient delivery of the auction process.
- Creating and maintaining a dedicated Bradley Hall Auctions presence on social media platforms such as LinkedIn and Instagram, including content creation, scheduling posts, and engagement monitoring.
Qualifications:
- Previous experience in an administrative role, ideally within property or professional services.
- Strong attention to detail and excellent organisational skills.
- Clear, confident communication skills, both written and verbal with the ability to liaise with clients and colleagues at all levels.
- Proficient in Microsoft Office and able to learn internal systems quickly (experience with Reapit & AMS CRM systems is advantageous).
- A proactive approach with the ability to manage multiple tasks and deadlines.
- An interest or experience in social media marketing would be advantageous but not essential.
- Ability to work both independently and collaboratively as part of a team.
- High attention to detail and accuracy in data management.
