Job Overview

We are looking to recruit to the post of PA/Executive Assistant, to work within our Primary Care Network (PCN) multidisciplinary healthcare team.

This role provides an exciting opportunity to work with a committed team to provide additional administrative support to the PCN Leadership team. The candidate will need a flexible approach to change and be instrumental in the delivery of the PCNs aims for patient centred care.

The successful candidates will have excellent communication and organisational skills and a high level of IT literacy.

Main Duties of the Job

The success candidate will be confident with IT systems, an excellent organiser and communicator and have an eye for detail. They will be expected to have the ability to work both independently and as part of a team, managing their workload and working to deadlines.

About Us

Bradford City Primary Care Network 4 (PCN4) is a network of Bradford City practices working collaboratively across the network area to look after the health of our local population. The PCN comprises of 5 local practices with a total population of around 42,000 registered patients.

Job Description

Job responsibilities

  • Supporting Operations and Business Manager and Clinical Director in the effective running of the Primary Care Network
  • Arrange meetings, take minutes and ensure agenda and papers are circulated prior to meetings
  • Proactively manage the action log and ensure that assigned actions are being completed
  • Prioritise and be responsible for own workload, to ensure all deadlines for correspondence, production of reports, and agenda items are met within the required timescales
  • Work with Practice Managers across the Primary Care Network
  • Attend staff meetings
  • Manage day to day issues as they arise.
  • Process invoices
  • Support recruitment of staff
  • Arrange interviews and draft offer letters
  • Plan and implement induction packages for new starters and on-going reviews
  • Ensure references for new starters are in place before start date
  • Ensure practice HR policies are followed and accurate records are kept
  • Record annual leave entitlement
  • Maintain annual leave, sickness and time off in lieu records
  • Update staff handbook and policies
  • Undertake any other additional duties appropriate to the post as requested by the Operations & Business Manger or Clinician Director.
  • Prioritise communications ensuring urgent matters are addressed by appropriate colleagues in a timely manner whilst taking responsibility for dealing with these personally in a professional manner.

Qualifications:

  • Educated to GCSE level or equivalent
  • GCSE Mathematics and English (C or above)

Experience

Essential:

  • Experience of Administrative duties

  • Proficient in the day-to-day use Outlook, Word, Excel and other MS packages
