We are looking to recruit to the post of PA/Administrator, to work within our Primary Care Network (PCN).
Main duties of the job:
- This role provides an exciting opportunity to work with a committed team to provide additional administrative support to the PCN Leadership team.
- The candidate will need a flexible approach to change and be instrumental in the delivery of the PCN's aims for patient centred care.
- The successful candidates will have excellent communication and organisational skills and a high level of IT literacy.
About us:
Bradford City Primary Care Network 4 (PCN4) is a network of Bradford City Practices working collaboratively across the network area to look after the health of our local population. The PCN comprises of 5 local Practices with a total population of around 48,000 registered patients.
Job responsibilities:
- Supporting Operations and Business Manager and Clinical Director with administrative tasks and diary management.
- Arrange meetings, take minutes and ensure agenda and papers are circulated prior to meetings.
- Proactively manage the action log and ensure that assigned actions are being completed.
- Prioritise and be responsible for own workload, to ensure all deadlines for correspondence, production of reports, and agenda items are met within the required timescales.
- Work with Practice Managers across the Primary Care Network.
- Attend staff meetings.
- Process invoices and raise invoices.
- Support recruitment of staff, arrange interviews and draft offer letters.
- Plan and implement induction packages for new starters and on-going reviews.
- Ensure references for new starters are in place before start date.
- Ensure practice HR policies are followed and accurate records are kept.
- Maintain annual leave, sickness and time off in lieu records.
- Undertake any other additional duties appropriate to the post as requested by the Operations & Business Manager or Clinical Director and Partners.
- Prioritise communications ensuring urgent matters are addressed by appropriate colleagues in a timely manner whilst taking responsibility for dealing with these personally in a professional manner.
The ideal candidate will be able to work part-time hours; 18-25 hours per week to be agreed.
Person Specification:
- Qualifications: Educated to GCSE level or equivalent, GCSE Mathematics and English (C or above).
- Experience: Experience of Administrative duties, strong IT Skills, minute taking, proficient in the day-to-day use of Outlook, Word, Excel and other MS packages.
- Personal Qualities: Polite and confident, flexible and cooperative, motivated, forward thinker, high levels of integrity and loyalty, ability to work under pressure.
- Skills: Clear, polite telephone manner, competent use of Office and Outlook, excellent organisational skills, problem solving and analytical skills, ability to follow policy and procedures, experience of working in a GP surgery, experience with working on SystmOne, own transport.
This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
