Overview
We are working closely alongside a Local Authority in Newport to assist with the appointment of an Administrative Assistant/Officer on a 3-month contract, highly likely to be extended at client\’s discretion. Please apply with your CV for immediate consideration.
Rate of Pay
£12.85 – £16.32 per hour
Summary
To provide an effective and efficient administrative and support service to officers and teams within the Housing Needs Unit. The postholder will support the day-to-day operations of the service by maintaining accurate records, assisting clients, liaising with internal and external agencies, and ensuring that administrative and financial processes are delivered efficiently and in line with Newport City Council policies and procedures.
Responsibilities
- Undertake all general administrative duties, including collation and processing of information, and maintaining records and filing systems (manual and electronic).
- Update and maintain systems, procedures, and records to ensure the effective and efficient delivery of services.
- Deliver high-quality front-of-house and reception-based customer service, responding to housing and homelessness-related enquiries from the public in person, by phone, and by email.
- Ensure that all statutory checks, data handling, and information management tasks are completed in accordance with legal and Council requirements.
- Process the ordering and receiving of goods and services in accordance with agreed procurement methods.
Mandatory Requirements
- Proven experience of dealing with complex situations and clients, demonstrating patience, professionalism, and sound judgement.
- Strong customer service skills, this is a key aspect of the role, requiring daily interaction with members of the public at the reception desk.
- Excellent interpersonal and communication skills (both verbal and written).
- Ability to manage workloads, prioritise tasks, and meet deadlines in a busy office environment.
- Competent in using IT systems and Microsoft Office applications (Word, Excel, Outlook).
- Understanding of confidentiality, data protection, and safeguarding principles.
