We are looking for an experienced Legal Secretary to join our Private Client team based in our Maidstone office. However, there may also be opportunity for an experienced candidate to be based in our Canterbury office. This role will specifically provide support to the Wills and Probate team, and duties might include:

  • Preparing correspondence and other written communications
  • Word processing, copy typing and audio dictation
  • Ensuring all electronic files are kept up-to-date
  • Undertaking file opening and closing activities
  • Ensuring regular archiving of files
  • Reviewing files for destruction
  • Maintenance of the legal advisor's diaries to record important key dates and ensure deadlines are not missed
  • Liaising with clients in person, by telephone and email, including taking messages, arranging appointments and booking rooms for meetings
  • General administration as required by the wider team
  • Maintaining accurate, individual time records using CMS in accordance with the firm's procedures

The team currently consists of 7 support staff and 20 legal advisors (including Partners, Senior Associates, Associates, Solicitors, Legal Executives and Paralegals). The team is led by Christopher Eriksson-Lee, and you will be expected to work with your colleagues, as well as independently, dealing with a range of interesting work and clients.

It is essential that you are a team player and are willing to be flexible to meet the needs of this busy team. You will be expected to support the team, as well as working independently; therefore, you must be organised and able to manage/prioritise your workload effectively to maintain excellent client service. To do so, you will need to be able to consistently follow procedure and have a keen eye for detail to ensure a high standard of work is delivered. You will also need to be comfortable working under pressure and be able to use your initiative when required. You will often be the first point of contact for clients; therefore, you must be able to demonstrate excellent communication skills on the telephone and face to face. Additionally, experience using a case management system and digital dictation would be advantageous.
