What's the job about?
The Bid & Proposal Coordinator supports the preparation and delivery of clear, compliant and compelling bid submissions, enabling BPA to respond effectively to client opportunities and maintain a strong, well-managed sales pipeline.
What will you be doing?
- Bid & Proposal Coordination
- Coordinate bid and proposal activities from initial opportunity review through to submission, ensuring deadlines, responsibilities and approvals are clearly defined and managed.
- Maintain bid plans, action trackers and document registers to ensure a structured and efficient submission process.
- Coordinate internal reviews, manage contributions and ensure submissions are prepared in accordance with BPA procedures and meet client specifications.
- Manage document control, version tracking and final quality assurance checks to ensure submissions are complete and professionally presented.
- Content Development
- Prepare, compile and format tender responses, pre-qualification questionnaires (PQQs), proposals, presentations and supporting documentation.
- Draft, edit and proofread proposal content to ensure clarity, consistency, accuracy and a professional tone.
- Work with subject matter experts to gather technical, operational and commercial input, translating this into clear, client-focused content.
- Undertake research on clients, markets and competitors to support bid positioning and value proposition development.
- Maintain and develop proposal content libraries, including standard responses, case studies, project profiles, CVs and templates.
- Support the management and reporting of BPA’s sales pipeline, ensuring opportunities and related data are accurate and up to date.
- Assist with the tracking and reporting of bid-related KPIs in line with business objectives.
- Stakeholder Engagement
- Build effective working relationships with colleagues across teams to support timely, high-quality submissions.
- Communicate professionally with internal stakeholders, clients and external contacts, representing BPA appropriately.
- Provide support to the Proposals, Contracts and Commercial Advisor, deputising as required.
What will you need?
- Degree-qualified or equivalent experience in a business, commercial, marketing or related discipline.
- Relevant professional development in bid management, proposal writing, business development or commercial administration is desirable.
- Experience producing or maintaining documents to a high professional standard, with good attention to detail.
- Experience coordinating tasks and inputs to meet deadlines across multiple contributors.
- Strong written communication skills, with the ability to produce clear and well-structured documents.
- Well organised, with the ability to manage multiple priorities and meet deadlines.
- High attention to detail and commitment to accurate, professionally presented documentation.
- Curiosity about how organisations develop proposals and win work, including an interest in commercial, contractual and financial considerations, supported by a basic level of commercial awareness.
