Job Summary:

A proactive and people-focused Installation Planning Manager with a strong track record of leading high-performance planning teams within fast-paced, customer-centric environments. Skilled in overseeing complex scheduling operations across boilers and air conditioning installations, ensuring a seamless customer experience from the moment a job is allocated to an engineer through to completion. Recognised for leading from the front, building robust processes, and fostering an engaged, motivated, and high-trust team culture. Experienced in coordinating multidisciplinary teams, aligning resources, and maintaining operational readiness across weekdays, weekends, and evenings. Adept at using data insights to support engineer recruitment and workforce planning, while managing engineer and subcontractor diaries to optimise workload distribution. Calm under pressure, solutions-driven, and committed to ensuring that every customer receives a positive outcome, even when challenges arise. A collaborative leader who works closely with wider operational teams to improve processes, strengthen communication, and drive collective success. Fully committed to maintaining compliance with legislation, manufacturer requirements, and internal policies, while ensuring planning systems, calendars, and workflows remain accurate and up to date.

Key Responsibilities:

  • Oversee the effective coordination and scheduling of work across the Boilers and Air Conditioning planning teams, ensuring all installation jobs are managed efficiently and deliver a seamless customer experience.
  • Take a proactive approach to identifying and resolving issues, developing processes, and improving operational workflows to enhance the day-to-day running of the planning team.
  • Ensure the correct resources are available when required, including forecasting and arranging staffing coverage for weekends and evenings to meet business demand.
  • Work closely with the Data and Engineer Engagement teams, using data-driven insights to support the recruitment and allocation of engineers. Build strong, trusting relationships with engineers, actively engaging with them and ensuring their diaries and workloads are well-managed.
  • React swiftly and positively to installation issues, providing timely and effective solutions that ensure complete customer satisfaction. Support your planning team through challenges by offering guidance, listening to calls, completing manager callbacks, and delivering ongoing advice and coaching.
  • Allocate and oversee daily tasks in a fair and consistent manner, acting as a central point of support within the department whenever needed.
  • Uphold all relevant legislation, manufacturer regulations, and company policies and procedures, ensuring full compliance at all times.
  • Collaborate effectively with other operational teams, encouraging joint working and improved communication.
  • Ensure all calendar discounts remain accurate and up to date, and undertake any additional duties required by the Management Team or Board of Directors as part of your employment.

Experience and Qualifications:

  • Proven experience leading planning or scheduling teams within a fast-paced, customer-focused environment.
  • Strong IT literacy across mainstream systems and planning/scheduling software.
  • Excellent time-management, organisational, and prioritisation skills.
  • Clear and effective communication skills with strong command of English.
  • Skilled in coaching, active listening, and mentoring team members.
  • Experienced in resolving customer issues with positive outcomes.
  • Strong background in direct people management and team engagement.
  • Driven to deliver high-quality customer experiences and team performance.
  • Ability to engage, motivate, and unite teams towards shared objectives.
  • Calm, confident, and effective when working under pressure in time-sensitive environments.
  • GCSEs (or equivalent) in Maths and English; graduate calibre with NVQ Level 3 in Business Administration, Customer Service, or similar.
