Home Projects and Events Coordinator (Freelance)
This role will contribute to several key areas including our latest theatrical release, a new regional exhibition project WE ARE HERE and general day-to-day business operations.
WE ARE HERE is the first phase of a longer-term initiative to transform how Black films and stories reach audiences beyond London. This pilot programme will deliver screenings and cultural events across four regional cities, testing more inclusive, community-driven ways to connect with audiences who have historically been underserved by traditional distribution models.
By embedding Black Cinema into regular regional programming, this project aims to build the foundation for an ongoing, nationwide platform for Black stories on screen.
- Freelance contract
- 4 days per week (occasional evening/weekend working required) 24 weeks (September 2025 – March 2026) with intention to extend.
- Provide administrative support in the planning and delivery of WE ARE HERE and theatrical release screenings and events.
- Provide in person and remote support for WE ARE HERE and theatrical release event delivery (travel may be required).
- Support meeting scheduling, note taking and action tracking for WE ARE HERE and theatrical release calls and updates.
- Help manage communications across WE ARE HERE and theatrical release, ensuring information is shared clearly and efficiently.
- Help track milestones and help ensure that deadlines are met.
- Liaise with stakeholders including venues, contributors, distributors, curators and freelance staff.
- Assist with file management, awards submissions and general communications with external partners for projects.
- Assist with post-project and release wrap-up including collecting feedback, compiling reports and maintaining accurate records..
General Administrative Support:
- Assist general team meeting preparation, note-taking, and follow-up actions.
- Provide diary and calendar management support for Co-Directors.
- Help with booking travel and accommodation as needed for staff and talent.
- Maintain documentation, contact lists, shared files and internal systems to support overall company workflow.
Breakdown of Responsibilities:
- Approximately 2 days/week WE ARE HERE support
- Approximately 1 day/week distribution and theatrical release admin support
- Approximately 1 day/week general administrative support for the wider business
Person specifications
- Excellent administrative and organisational skills.
- Experience of coordinating or supporting the delivery of events.
- Strong attention to detail with excellent project administration skills.
- Proficiency in Google Docs and Sheets, and Microsoft Word and Excel.
- Experience of project coordination or management in a cultural or creative context.
- Ability to manage multiple tasks and prioritise effectively, especially during busy periods.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision when required.
- Good knowledge of the film industry, with an understanding of the importance of Black – Cinema and cultural representation on screen.
- Knowledge of the UK theatrical distribution space (preferable).
- Experience in distribution or sales environment (beneficial but not essential).
