We are looking for a highly organised, discreet and proactive Executive Assistant to provide comprehensive support to our CEO and members of the senior leadership team. Working within a fast-paced media environment, you'll play a vital role in ensuring the smooth day-to-day running of executive schedules, business operations and key company initiatives. This is an excellent opportunity for someone who thrives on organisation, enjoys working at pace and is confident managing multiple priorities whilst maintaining absolute professionalism and confidentiality.
Key Responsibilities:
- Provide comprehensive diary management for the CEO and other members of the senior team, coordinating meetings, appointments and competing priorities across multiple schedules.
- Manage complex calendars, ensuring meetings and commitments are planned efficiently and conflicts are proactively resolved.
- Organise domestic and international travel, including flights, accommodation, transport, visas and detailed itineraries.
- Prepare meeting agendas, presentations, briefing documents and minutes where required.
- Screen and prioritise emails, correspondence and phone calls on behalf of the leadership team.
- Anticipate the needs of the executives and provide proactive administrative support to enable them to focus on strategic priorities.
Office & Business Administration:
- Act as a key point of contact for internal teams, clients, broadcasters and external partners.
- Coordinate meetings, hospitality and company events.
- Support the wider management team with administrative and operational tasks as required.
- Coordinate deadlines, actions and follow-ups across multiple departments.
- Process expenses and company credit card reconciliations.
- Build strong relationships with clients, suppliers, broadcasters and industry contacts.
- Represent the company professionally as the first point of contact for the senior leadership team.
- Handle sensitive and confidential information with discretion at all times.
Reporting Structure:
You will work closely with the CEO and other members of the senior leadership team, providing dedicated executive support and collaborating with department heads and the wider business.
Who You Are:
- You are an experienced and confident Executive Assistant, Personal Assistant or Senior Administrator supporting multiple senior stakeholders.
- You have proven experience managing complex and fast-moving diaries.
- You have outstanding organisational and time management skills.
- You have excellent written and verbal communication skills.
- You have strong attention to detail and ability to manage multiple priorities simultaneously.
- You have coordinated international travel and complex logistics.
- You’re able to work independently whilst building strong relationships across the business.
- You have excellent knowledge of Google Workspace.
- Familiarity with CRM systems is desirable but not essential.
- It would be great if you have experience working within television, media, production or other creative industries.
