We are currently recruiting for an Office Manager to join our Public Sector and Regions Construction business, as part of our DEOP team. DEOP (Defence Estate Optimisation Programme) is a £5.1bn government major programme of works to rationalise the Defence Estate across the UK. Bovis have been awarded five DEOP projects all based in the West Midlands region. The project sites are located in Bicester, Gloucester, Stafford, Leicestershire and Cirencester. All projects are currently in conversion stage. This role is required to manage the central BU office in Birmingham and support the DEOP team with general administration, communications, reporting and data gathering.

Main responsibilities:

  • Provide administration and governance support to the PLT
  • Manage the DEOP Team Sharepoint site
  • Compile and issue weekly DEOP team communications
  • Support central functions in delivery of key tasks, including document control, security vetting, reporting etc
  • Manage DEOP Teams Calendar
  • Manage team training calendar, organising training days, events and bookings
  • Provide front of house service to all external and internal visitors
  • Take telephone calls to proactively re‑direct people to others who can or may be able to assist
  • Assist in organising monthly team meetings, conference calls, meetings, team events etc
  • Book and coordinate meeting rooms and organise refreshments and lunches as required
  • Order office supplies – stationery, paper and kitchen supplies and PPE
  • Develop DEOP team reporting and governance processes and standard documents
  • Manage filing (including electronic) and post management system
  • Lead, complete and support audits
  • Work collaboratively with other Office Managers within UK Regions
  • Keep project registers up to date
  • Organise training sessions for the Bovis team, Client team and Contractors
  • Play an active part in driving positive team culture, collaboration and ensuring DEOP is a place people want to work
  • Support the sustainability and social value team in delivering requirements for DEOP
  • Support compiling documentation for presentations, workshops and alike

Skills and Experience:

  • Ability to communicate effectively with all levels of personnel both internal and external
  • Excellent planning and organisation skills
  • Ability to multi-task, work to deadlines, prioritise tasks and work to optimum efficiency
  • Professional and mature approach when dealing with internal contacts and external clients
  • Maintain confidentiality at all times
  • Excellent computer skills – intermediate ability on Microsoft suite
  • Strong networking and interpersonal skills
  • Strong analytical skills, initiative and ability to think strategically and creatively
  • The ability to be both a self‑starter and to work as part of a team
  • Proven reliability, attention to detail, high level of accuracy
  • Enjoy a busy and demanding environment, but remain calm under pressure
  • Self‑motivation with a ‘can‑do’ attitude and demonstrable drive to get results
  • Strong problem‑solving skills and can use own initiative
  • Open, honest and willing to take responsibility for outcomes
  • Knowledge of UK Construction business
  • Experience in a similar role
